Location: Mototolo
The Administration Clerk is responsible for efficient and accurate administration of the Occupational Health Centre.
Job responsibilities include (but are not limited to):
- Perform daily planning and prioritisation of activities to ensure the timely completion of tasks in accordance with unit-specific procedures and work management requirements.
- Verify client documentation, including medical booking slips and identification documents, to ensure accuracy and completeness.
- Register clients for medical surveillance in accordance with established procedures.
- Print and prepare medical roadmaps for clients attending occupational health assessments.
- Scan and upload client information onto electronic medical records to maintain accurate and up-to-date client files.
- Maintain effective document management systems, ensuring records are filed, stored, and retrieved in compliance with company requirements.
- Verify clinic-related documentation to ensure completeness, accuracy, and compliance with administrative standards.
- Serve as the first point of contact for client enquiries, providing professional assistance and resolving queries promptly.
- Support the efficient daily operation of the clinic through general administrative and reception duties.
- Ensure confidentiality and secure handling of all client information and medical records.
- Grade 12
- 1 years’ experience in similar role
- Proficient Computer Literacy Skills
- Experience with QMED System (Advantageous)
Technical knowledge and Skills
- Proficient in the use of the Microsoft Office Suite, including Word, Excel, Outlook, and PowerPoint.
- Strong organisational and time management skills, with the ability to effectively prioritise tasks and meet deadlines.
- Excellent verbal and written communication skills, with the ability to engage professionally with clients, colleagues, and stakeholders at all levels.
- Strong attention to detail and accuracy in handling documentation and data.
- Customer service orientated, with the ability to manage client queries professionally and efficiently.
- Ability to maintain confidentiality and handle sensitive information with discretion.
- Effective administrative and document management skills.
