What You Will Do – Primary Responsibilities
Administrative Support
Provide day-to-day administrative support to local teams and management.
Prepare correspondence, reports, presentations, internal communications, and meeting materials.
Coordinate calendars, meetings, travel arrangements, and office events.
Maintain accurate records, filing systems, and documentation, both electronic and physical.
Support procurement activities, including office supplies, equipment, and service requests.
Assist with onboarding activities and other basic employee administration processes as required.
Facilities Administration
Support the daily operation, safety, cleanliness, and functionality of office facilities.
Coordinate maintenance activities, repairs, and service requests with vendors and building management.
Monitor office equipment, furniture, and supply inventory levels.
Assist with facilities-related budgeting, utility tracking, and maintenance schedules.
Ensure compliance with local health, safety, environmental, and workplace requirements.
Support office space planning, moves, and workplace improvement initiatives when required.
Reception & Front Desk
Serve as the first point of contact for employees, visitors, vendors, and external partners.
Welcome visitors professionally and ensure a positive office experience.
Manage incoming calls, correspondence, mail distribution, and deliveries.
Coordinate meeting room scheduling and support meeting logistics.
Maintain a professional, organized, and welcoming reception area and common spaces.
What You'll Need – Qualifications & Requirements
National Diploma, Bachelor's degree, Higher Certificate, or equivalent qualification in Business Administration, Facilities Management, or a related field preferred.
Several years of experience in administrative support, office coordination, facilities management, reception, or related functions.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
Experience working with procurement processes, vendor management, facilities administration, or office operations is advantageous.
Fluency in both English and Afrikaans is required
Strong organizational, time management, and multitasking abilities.
Excellent written and verbal communication skills.
Ability to manage multiple priorities while maintaining attention to detail.
High level of professionalism, discretion, and integrity.
Self-motivated, proactive, and able to work independently.
Strong customer service orientation and problem-solving skills.
Ability to work effectively in a diverse and multicultural environment.
