ROLE OVERVIEW:

We are seeking an exceptionally organized, proactive, and detail-driven Talent and Campaign Coordinator to join our team. In this multi-faceted role, you will serve as the engine room for both talent operations and brand campaign execution. You will take full ownership of managing day-to-day talent schedules, coordinating logistics, and executing brand partnership campaigns end-to-end once deals are finalized.

This is a fast-paced position requiring superior communication skills, sound commercial judgment, and a deep, authentic understanding of the Australian creator and media landscape.

RESPONSIBILITIES:

Talent Coordination

  • Logistics & Schedules: Manage day-to-day diaries, bookings, call times, travel, and logistics for an assigned roster of talent.
  • Production & Events: Coordinate shoot days, media commitments, brand appearances, events, and press schedules.
  • Stakeholder Relations: Serve as a key point of contact, liaising via email with publicists, producers, casting directors, event organizers, and network contacts.
  • Talent Collateral: Maintain up-to-date talent bios, media kits, rate cards, showreels, and audience analytics.
  • Talent Prep: Prepare comprehensive briefing notes and detailed run sheets to ensure talent are thoroughly prepared for every engagement.

Campaign Management

  • Campaign Ownership: Own and execute brand partnership campaigns post-negotiation, serving as the central link between talent, brands, and agencies.
  • Approval Workflows: Manage the content approval pipeline between talent and client brands, including content reviews, revision rounds, and go-live schedules.
  • Contractual Oversight: Track all deliverables against contract terms, actively monitoring scope and flagging variations early.
  • Financial Administration: Raise invoices, monitor payment terms, and follow up on outstanding accounts to ensure seamless financial operations.

Agency & Business Administration

  • System Management: Maintain and update the CRM and active campaign pipelines within monday.com.
  • Pitch & Proposal Support: Assist with inbound brand inquiries, research, and pitch deck development for incoming opportunities.
  • Asset Maintenance: Keep talent sales decks continuously updated utilizing Canva.
  • Experience: 2+ years of experience in talent management, campaign coordination, influencer marketing, creative agency operations, PR, or media production.
  • Industry Knowledge: Strong working knowledge and dynamic awareness of the Australian creator, broadcast, and podcasting ecosystems.
  • Written Communication: Outstanding written skills—able to comfortably draft polished brand emails, detailed campaign briefs, and clear talent recaps.
  • Technical Proficiency: Fluent across Google Workspace, campaign management tools (e.g., monday.com), Meta Business Suite, and Canva.

PREFERRED:

  • Prior experience working directly within an Australian talent management agency, broadcast network, or top-tier media publisher.
  • Background in managing end-to-end influencer content workflows and contract compliance.
