Finance & Operations Assistant - Remote

Core-VA Solutions is a Texas-based healthcare staffing company with 20+ years of experience supporting U.S. healthcare organizations with skilled remote professionals.

We’re looking for aFinance & Operations Assistant who can do more than keep the books accurate. We want someone who looks at a repetitive process and thinks,“There has to be a better way.”

In this role, you’ll supportbookkeeping, accounts payable/receivable, financial reporting, budgeting, forecasting, and operational coordination while helping streamline workflows, automate manual tasks, and build processes that make the business run more efficiently.

What You’ll Do

• Maintain accurateQuickBooks Online records across multiple entities
• ManageAP/AR, invoicing, payment processing, reconciliations, and month-end close
• PrepareP&L, balance sheet, cash flow, AR/AP aging, and variance reports
• Build and maintaincash flow forecasts, budgets, and budget-to-actual reporting
• Monitor financial and operational deadlines, calendars, vendors, contracts, and documentation
• Identify inefficient or repetitive processes and develop better workflows
• Buildautomations, templates, dashboards, and standardized processes using tools such as Microsoft 365, Excel, Power Automate, Asana, and QuickBooks
• Create and maintain clearSOPs and process documentation
• Track KPIs and provide leadership with clear, actionable financial information
• Support finance-related activities for affiliated staffing and nonprofit entities

Your First 90 Days

You’ll have clear milestones from the start, including:

First 30 Days: Take ownership of the books, reconciliations, recurring calendars, and current-state process mapping.

By Day 60: Launch your first process improvements or automations and demonstrate measurable time savings.

By Day 90: Independently manage the finance reporting cadence, cash flow forecasting, budget-to-actual reporting, and documented finance and operations SOPs.

What We’re Looking For

You’ll likely thrive in this role if you are:

• Experienced infull-cycle bookkeeping, staff accounting, or finance operations with 3+ years of experience
• Highly proficient inQuickBooks Online, including multi-entity bookkeeping
• Advanced inExcel, including PivotTables, lookups, formulas, and financial models
• Comfortable withaccrual accounting and month-end close
• Experienced inbudgeting, forecasting, financial reporting, and variance analysis
• Able to identify a manual process, improve it, and explain the measurable result
• Highly organized, accurate, proactive, and comfortable working independently
• A clear communicator who can explain financial information in simple, practical terms
• Comfortable handling confidential financial and client information

Nice to have: Experience withPower Automate, Zapier, Make, Power Query, VBA, Python, Microsoft 365, SharePoint, Teams, Asana, or Wise, as well as healthcare, nonprofit, long-term care, or home and community-based services experience.
