Executive Assistant - full time or part time
We are seeking an experienced Executive Assistant to provide high-level remote support to a U.S.-based business owner, executive, or professional team.
This role is suited for a highly organized professional who manages priorities well, communicates confidently, and keeps complex schedules, projects, and administrative responsibilities moving.
Key Responsibilities
- Manage calendars, appointments, meetings, and scheduling across multiple priorities.
- Coordinate travel, including flights, hotels, transportation, and detailed itineraries.
- Manage inboxes, draft correspondence, organize follow-ups, and flag urgent matters.
- Prepare meeting agendas, notes, presentations, reports, and business documents.
- Track action items, deadlines, and executive priorities.
- Coordinate with clients, vendors, team members, and external partners.
- Support project management and ensure assigned tasks move forward on schedule.
- Maintain organized digital files, records, and shared folders.
- Conduct online research and prepare concise summaries for executive review.
- Handle confidential business and personal information with discretion.
- Assist with expense tracking, invoices, receipts, and administrative reporting.
- Support CRM updates, contact management, and business development follow-up.
- Use AI tools to support research, drafting, organization, and productivity.
- Work within Microsoft 365, Google Workspace, Zoom, Slack, and other cloud-based business systems.
Candidate Requirements
- Minimum 5 years of professional experience as an Executive Assistant, Personal Assistant, Administrative Manager, or similar senior support role.
- Minimum 2 years of experience supporting U.S.-based executives, business owners, or professional services firms.
- Strong experience managing complex calendars, inboxes, travel, meetings, and competing priorities.
- Excellent written and verbal English communication skills.
- Strong business writing and professional correspondence skills.
- Advanced proficiency with Microsoft Office 365 and/or Google Workspace.
- Experience with project management, CRM, or task management platforms.
- Strong attention to detail and follow-through.
- Ability to work independently and anticipate executive needs.
- Excellent judgment when handling confidential or sensitive information.
- Strong organizational and time management skills.
