AIA Billing Specialist – Construction Billing, SOV & Bonding

Full-Time | Remote | U.S. Business Hours

About the Role

At Pavago, one of our clients is hiring an experiencedAIA Billing Specialist to manage billing, contracts, bonding, and project documentation for a growing U.S. commercial construction operation.

This is a specialized construction billing role. We’re looking for someone with direct experience handlingAIA G702/G703 billing, Schedule of Values (SOV), retainage, and construction bonds.

You’ll help ensure multiple active projects remain accurately billed, properly documented, and on schedule.

What You’ll Own

AIA Billing & SOV

• Prepare and submitAIA G702/G703 payment applications
• Create, maintain, and updateSchedule of Values (SOV)
• Track retainage and project payment milestones
• Monitor billing deadlines and ensure accurate, timely submissions
• Identify billing discrepancies or payment issues before they impact cash flow

Contracts & Construction Bonding

• Organize and track commercial construction contracts
• Coordinatebid bonds, performance bonds, and maintenance bonds
• Prepare and submit required bonding documentation
• Communicate with bonding companies, municipalities, general contractors, and project stakeholders
• Track contractual requirements and documentation deadlines

Project Documentation & Systems

• Maintain project records, schedules, permits, and supporting documentation
• Keep project information updated inBuildertrend or similar construction management systems
• Maintain accurate CRM and project tracking records
• Ensure documentation remains organized and accessible across active projects

Project & Administrative Coordination

• Communicate with clients, contractors, vendors, and other stakeholders
• Support pre-construction and project administration
• Participate in project meetings and provide billing/documentation updates
• Track outstanding requirements and proactively follow up

Requirements

Must Have

• Prior experience supporting aU.S.-based general contractor or commercial construction company
• Hands-on experience withAIA billing and G702/G703 payment applications
• Strong experience managingSchedule of Values (SOV)
• Experience trackingretainage
• Knowledge ofbid bonds, performance bonds, and maintenance bonds
• Strong Microsoft Excel and Microsoft Office skills
• Excellent written and verbal English communication
• Strong organization and ability to manage multiple active projects
• High attention to detail when handling financial and contractual documentation
• Ability to work independently during U.S. business hours

Nice to Have

• Buildertrend or similar construction management software experience
• Commercial construction, landscaping, or trades industry background
• Construction accounting or bookkeeping experience
• Familiarity with construction financial reporting and payment tracking
• CRM and project management system experience

• AIA billing packages are accurate and submitted on time
• SOVs and retainage records remain current
• Bonding requirements are completed before deadlines
• Project and contract documentation stays organized and accurate
• Billing delays and payment issues are proactively identified
• Leadership has clear visibility into billing and project status
