REE Medical is seeking a dynamic, process-driven Clinical & Disability Operations Manager to lead, scale, and optimize our clinical documentation review and generation teams. In this role, you will sit at the intersection of healthcare data, quality assurance, and high-performance team leadership.
This is a heavypeople and process ownership role. You will directly manage, coach, and scale a large, multi-tiered team responsible for DBQ Generation, Quality Control, and QA workflows. We do not require an active clinical license (such as an RN, NP, or MD), but you must possess advancedmedical literacy and a deep familiarity withVA disability rating criteria to ensure our operational processes remain highly accurate, sound, and scalable.
The Three Pillars of Your Success:
- People Leadership: Act as a true coach and leader for a large operational squad. You will drive engagement, manage performance metrics, and build a culture of accountability.
- Process Optimization: Own the end-to-end workflow of document generation and QA. You will identify bottlenecks, implement scalable systems, and ensure rapid, compliant turnarounds.
- Clinical & VA Alignment: Apply your deep understanding of medical terminology, anatomy, and diagnostic data to the specific frameworks of VA disability evaluation guidelines and DBQs.
What is expected in this role:
People & Team Leadership
- Execute team direction in partnership with the Senior Director of DBQ Operations across Generation, Quality Control, and Quality Assurance teams
- Manage goals, metrics, and day-to-day team operations for a large operational team across all three departments, working through supervisors and team leads
- Lead, align, and develop supervisors to ensure department-wide consistency and accountability
- Coach, mentor, and track team performance against departmental and company goals
- Execute the full performance management cycle: coaching conversations, performance reviews, development plans, and performance concerns
- Track team goals and progress, support each supervisor's professional development and overall DBQ skill growth
- Act as lead in interview and onboarding processes for all new team members, including GoTeam members
- Own supervisors' timecards and PTO approvals - serve as backup when supervisors are unavailable
- Hold supervisors accountable to their team 1:1s and serve as backup when needed
- Own weekly department meetings and bi-weekly staff check-ins
- Build and maintain performance dashboards and accountability systems to ensure visibility into team output, error trends, and individual performance
- Eliminate roadblocks across teams and escalate systemic issues proactively
DBQ Subject Matter Expertise
- Serve as the primary DBQ Subject Matter Expert for Generation, Quality Control, and Quality Assurance teams
- Apply medical/clinical knowledge to ensure DBQ content accuracy, appropriate medical terminology, and alignment with VA rating criteria
- Review VA template, rating schedule, and policy changes to identify what has changed and update DBQ training materials accordingly
- Ensure all DBQ-specific training content reflects current VA rating criteria, accurate medical terminology, and REE Medical's internal processes
- Maintain and update process documentation, SOPs, and quick-reference guides as workflows evolve or are revised
- Conduct quarterly reviews of all DBQ training materials to confirm accuracy and flag outdated content for revision
- Identify content gaps through QA feedback, error trends, and supervisor input, then draft updated training content for Director review and approval
- Ensure updated training content is published within 30 days of any major process change or VA update, following Director sign-off
- Serve as the content accuracy resource for supervisors and team members who have questions about DBQ-related training materials

Process & Compliance
- Ensure DBQ-related process updates are implemented and communicated effectively across departments
- Ensure all teams follow processes and procedures related to Operational Programs and PII/PHI safeguarding
- Manage and report on team compliance within REE Medical's policies and procedures
- Work in tandem with the Senior Director of DBQ Operations and supervisors to ensure complete alignment across teams
- Implement and sustain process improvements that enhance efficiency, reduce errors, and improve knowledge accessibility

Job Requirements:
- Proven Leadership Experience: 3+ years of experience managing, coaching, and scaling large, multi-tiered teams in an operations, corporate, or high-volume administrative environment.
- Advanced Medical Literacy: Strong foundational knowledge of medical terminology, anatomy, and diagnostic documentation. (Formal health science education, medical coding, or a clinical review background preferred; an active clinical license is not required).
- Process & KPI Ownership: Demonstrated success managing high-volume document workflows, identifying process bottlenecks, and meeting strict operational SLAs.
- VA Framework Familiarity: Direct experience working with VA disability criteria, rating schedules, or DBQs is highly preferred.
- Strategic Problem Solving: Ability to translate complex medical data guidelines into clear, scalable internal workflows while maintaining exceptional quality and low error rates.
How success is measured in this role:
- Meeting Completion & Leadership Engagement: Maintain established meeting cadence with supervisors, cross-departmental managers, and team check-ins
- Success Metric: Meet or exceed the established meeting completion rate per quarter
- Department Timeline Management: Sustain established SLAs for DBQ Generation and Quality Control turnaround times
- Success Metric: Meet or exceed SLA targets for Generation and QC timelines
- Quality & Accuracy: Maintain error rates at or below established department threshold while sustaining required productivity levels
- Success Metric: Error rate at or below department threshold
- Operational Efficiency: Manage team resources to minimize overtime and maintain sustainable workload distribution
- Success Metric: Overtime at or below established threshold as a percentage of total department hours
- Production Metrics: Meet or exceed production KPIs as determined by Finance and CFO office while maintaining quality and compliance standards
- Success Metric: Quarterly production targets achieved
- DBQ Knowledge & Training Accuracy: Ensure all DBQ training content is reviewed, accurate, and updated to reflect VA and internal process changes
- Success Metric: All DBQ training materials reviewed and confirmed accurate quarterly
- Success Metric: Updated content published within established SLA following process or VA updates
- Success Metric: Reduction in DBQ-related errors across Gen, QC, and QA (measured through QC and Feedback boards)
- Success Metric: Increased supervisor confidence in training materials as measured through structured feedback sessions
