Welcome walk-in visitors with a friendly and professional greeting.
Direct potential sales customers to the appropriate Sales Associate (See “Walk-in”
assignment instructions). Keep the “UP” Sheet current so everyone knows who is
“UP” next.
Direct any leasing or renting inquiries to the Leasing Department.
If the visitor asks specifically to see someone, let the individual person know
some one is there to see them. If that individual is not in the office, call them on
their cell phone to notify them.
Receive & sign for items delivered to the office. Ensure they are designated for the realty office and not Leisure World Administration. Forward all items to the appropriate individual.
Answer incoming phone calls, using a friendly and professional manner.
Transfer calls to the appropriate individual. All leasing calls get transferred to the Leasing Department. Leasing Department is closed on weekends and people should be told to call back when they are open.
All telephone sales inquiries, who do not ask for an individual Sales Associate, should be routed to the person who is “UP” (See “Walk-In” assignment instructions).
No real estate questions should be answered by the receptionist.
Transfer calls to voice mail or cell phone as requested. Take written messages when necessary and contact the individual as to the content of the message.
