- Supporting the Sales team with proposals, contracts, correspondence, reports, and client communications.
- Responding promptly and professionally to telephone calls, emails, leads, and general sales inquiries.
- Preparing and maintaining group files, room blocks, event details, billing instructions, and other sales documentation.
- Entering and updating accurate information in hotel sales, catering, and property-management systems.
- Assisting with site tours, client appointments, planning meetings, networking events, and hotel presentations.
- Coordinating details between clients and hotel departments so everyone understands the expectations and timeline.
- Tracking deadlines, deposits, signatures, rooming lists, special requests, and other important follow-up items.
- Preparing welcome amenities, signage, sales materials, VIP arrangements, and client gifts when needed.
- Supporting groups, meetings, weddings, corporate events, and social celebrations from initial inquiry through arrival.
- Maintaining organized digital and physical files so information is easy to locate and ready when the team needs it.
- Helping monitor group pickup, event changes, account activity, and upcoming business.
- Anticipating what the Sales team or client may need before they have to ask.
- Bringing calm organization to the tiny tornadoes that occasionally accompany a busy event calendar.

Education and Experience
- High school diploma or equivalent required.
- College coursework or a degree in hospitality, business, marketing, communications, or a related field preferred.
- Previous administrative, sales, customer-service, event, or hospitality experience preferred.
- Hotel sales, catering, or event-coordination experience is a plus.
- Luxury, boutique, or full-service hotel experience preferred.
- Strong verbal and written communication skills.
- Strong organizational, time-management, and follow-up skills.
- Excellent attention to detail and commitment to accuracy.
- Proficiency with Microsoft Office or similar business applications.
- Experience with hotel sales, catering, property-management, or customer-relationship-management systems preferred.
- Ability to prepare professional correspondence, proposals, presentations, and reports.
- Ability to manage multiple clients, projects, deadlines, and changing priorities.
- Ability to work independently and collaboratively as part of a team.
- Ability to work flexible hours, including occasional evenings, weekends, and holidays, based on client, event, and business needs.
Work Environment and Physical Requirements
- Ability to sit, stand, and walk for extended periods.
- Ability to move throughout guest rooms, meeting spaces, public areas, and back-of-house areas of the hotel.
- Ability to use computers, telephones, printers, presentation equipment, and other office technology.
- Ability to conduct or assist with property tours and client visits.
- Ability to bend, reach, lift, carry, push, and pull sales materials, event supplies, packages, and presentation items.
- Ability to lift or move up to 25 pounds as needed.
- Ability to communicate effectively in person, by telephone, through virtual meetings, and through electronic correspondence.
- Ability to work in a fast-paced hotel and event environment while maintaining professionalism, accuracy, and attention to detail.
