Overview of the roleĀ

Due to continued growth, we are hiring a new Operations Co-OrdinatorĀ to support the efficient delivery of day-to-day operational activities, ensuring orders, queries, and processes are handled accurately andĀ in a timely manner.Ā

What will you be doing?Ā 

  • Act asĀ a central pointĀ of contact for operational queries from internal teams, customers, suppliers, and vendorsĀ 
  • Manage shared OperationsĀ inboxes, ensuring all queries are handled accurately andĀ in a timely mannerĀ 
  • Process customer orders, agreements, and licensing contracts withĀ a high levelĀ of accuracy and attention to detailĀ 
  • Raise and manage purchase orders, ensuringĀ timelyĀ processing and order completionĀ 
  • Work closely with sales teams toĀ validateĀ and process orders correctlyĀ 
  • Liaise with suppliers, manufacturers, and partners (e.g. Microsoft) to manage orders, queries, and updatesĀ 
  • Maintain product pricing and ensure pricing data isĀ accurateĀ within internal systemsĀ 
  • Run andĀ maintainĀ operational reports, supporting sales activity and tracking performanceĀ 
  • Manage renewals, reminders, and ongoing customer contract activityĀ 
  • Support after-sales activity, including handling returns and resolving delivery or order issuesĀ 
  • Build andĀ maintainĀ strong relationships with suppliers and internal stakeholdersĀ 
  • AssistĀ with supplier engagement and support pricing discussions whereĀ requiredĀ 
  • MaintainĀ accurateĀ records, documentation, and agreement tracking through to completionĀ 
  • Ensure all operational processes follow company policies, including information security requirementsĀ 
  • IdentifyĀ and support opportunities to improve processes, efficiency, and service qualityĀ 
  • Support the wider Operations team with ad-hoc tasks and business requirements as neededĀ

What are we looking for?Ā 

The right person for this roleĀ will be a highly organised and detail-focused individual with strong administrative experience, ideally gained within a fast-paced operations, sales support, or commercial environment. They will be comfortable working with systems and data, handling multiple priorities, and building effective relationships with both internal teams and external partners.Ā 

Ā 

Key SkillsĀ & Experience:Ā 

  • PreviousĀ experience in an administrative, operations, or order processing roleĀ 
  • Strong organisational skills, with the ability to prioritise workload and manage multiple tasks effectivelyĀ 
  • High attention to detail and accuracy, particularly when handling orders, contracts, or pricing dataĀ 
  • Confident working with systems and data, including Microsoft Office (especially Excel) and internal business systemsĀ 
  • Excellent communication skills, able to liaise with internal teams, customers, and suppliersĀ 
  • Ability to build andĀ maintainĀ strong working relationships with stakeholdersĀ 
  • Comfortable managing queries and resolving issues inĀ a timelyĀ and professional mannerĀ 
  • Proactive and reliable, withĀ a strong senseĀ of ownership and accountabilityĀ 
  • Ability to work under pressure and meet deadlines in a fast-paced environmentĀ 
  • A flexible, team-oriented approach with a willingness to support wider operational activitiesĀ 
  • Ability toĀ identifyĀ process improvements and contribute to more efficient ways of workingĀ

Where is the role based?Ā 
Primary location is our HQ in Pocklington (YO42)Ā with a minimum of 2 days per week on-site needed.Ā

As part of our recruitment process due to the nature of the work we do, all employeesĀ are required toĀ undertake aĀ Baseline Personal Security Standard (BPSS)Ā check.
