Position Summary
The Executive Assistant to the Board of Directors and CEO provides high-level administrative, operational, and governance support to the CEO and Board of Directors. This position serves as a trusted partner, ensuring effective communication, coordination, and execution of executive and board-related activities. The Executive Assistant manages complex schedules, board governance processes, meeting logistics, confidential information, and strategic projects while maintaining professionalism, discretion, and organizational efficiency.

Executive Support to the CEO
- Manage and maintain the CEO’s calendar, appointments, meetings, and travel arrangements.
- Prioritize and coordinate requests for the CEO’s time and attention.
- Prepare correspondence, reports, presentations, briefing materials, and meeting agendas.
- Screen, prioritize, and respond to communications on behalf of the CEO as appropriate.
- Coordinate leadership meetings and ensure timely follow-up on action items.
- Support strategic initiatives and special projects as assigned by the CEO.
- Serve as a liaison between the CEO and internal and external stakeholders.
Board Governance Support
- Coordinate all Board of Directors and committee meetings, including scheduling, agenda development, and meeting logistics.
- Prepare and distribute board packets, reports, and supporting documentation.
- Record, prepare, and maintain accurate board and committee meeting minutes.
- Track board actions, resolutions, policies, and follow-up items.
- Maintain official board records and governance documents.
- Ensure compliance with organizational bylaws, policies, and applicable governance requirements.
- Assist with onboarding and orientation of new board members.
- Coordinate annual board calendars, retreats, strategic planning sessions, and training activities.
Communication and Relationship Management
- Serve as the primary point of contact between board members, executive leadership, and key stakeholders.
- Facilitate clear and timely communication between the Board and CEO.
- Maintain positive and professional relationships with board members, community partners, vendors, and staff.
- Support organizational events, public meetings, and executive functions as needed.
Administrative and Operational Support
- Manage confidential and sensitive information with the highest level of discretion.
- Coordinate travel, accommodations, and expense reporting for the CEO and board members as required.
- Maintain organizational records, electronic files, and document management systems.
- Assist with policy development, document preparation, and organizational reporting.
- Support grant reporting, strategic planning, and organizational initiatives when assigned.
Perform other duties as assigned.

Position Qualifications
- Minimum Education:AA Degree or Certification Course in Business Management/Office Technology or like industry or High School Diploma.Â
- Minimum Experience:A minimum of five years progressively responsible Executive Assistant experience. Must be able to travel within the Region and State.Â
- License, Certification, Registration:Valid State of Alaska Driver's License for local driving is required.Â
- Specialized Knowledge and Skills:Â
- Knowledge of nonprofit, tribal, healthcare, or corporate governance principles.
- Strong understanding of board relations, meeting management, and executive administration.
- Excellent written, verbal, and interpersonal communication skills.
- Exceptional organizational and time-management abilities.
- Ability to manage multiple priorities and deadlines simultaneously.
- Strong attention to detail and accuracy.
- Proficiency in Microsoft Office 365, including Outlook, Word, Excel, PowerPoint, Teams, and SharePoint.
- Ability to exercise sound judgment, initiative, and discretion.
- Strong project coordination and problem-solving skills.
