Work Schedule: EST | Monday–Friday with required overlap during US Eastern business hours

Compensation Range: $1,500 USD/month based on experience

A fast-growing US real estate development company is hiring an Executive Assistant to act as the operational backbone for the CEO while keeping a lean, distributed team aligned and accountable.

The business is founder-driven and operates across multiple US markets, building and scaling real estate projects with a small, high-trust team. The environment moves quickly, and the role sits at the center of communication, tasks, and projects.

Day-to-day, this role owns the CEO's calendar, travel, and scheduling across time zones, coordinates priorities and deadlines across the team, maintains the company's Notion workspace, and turns meetings into structured action items. Success means the CEO's time is protected and optimized, operational visibility stays high, and commitments across the team are tracked to completion.

Must-Have

  • 5+ years of experience in executive assistance, operations coordination, or chief-of-staff support roles
  • Hands-on experience managing executive calendars, complex multi-time-zone scheduling, and travel logistics (flights, accommodations, transportation)
  • Proficiency with Notion for workspace management, project tracking, and operational dashboards
  • Proficiency across Microsoft Office Suite, Microsoft Teams, and SharePoint
  • Experience capturing meeting action items and producing structured follow-ups via Zoom
  • Demonstrated experience coordinating tasks, deadlines, and deliverables across a distributed team
  • C1+ English (CEFR) for direct, client-facing communication with US-based executive leadership

Nice-to-Have

  • Experience supporting founders or executives in startups or small high-growth teams
  • Prior experience in real estate development or real estate investment environments
  • Hands-on experience with AI productivity tools, automation platforms, or meeting transcription/documentation tools
  • Background in knowledge management or operational documentation systems
