Role Overview

As an Applicant Operations Specialist, you will serve as one of the first points of contact for prospective patients, guiding them through Haven’s onboarding process. You will conduct virtual consultations, gather and document patient information, coordinate scheduling, and ensure a seamless experience from initial inquiry through appointment booking.

This role combines healthcare operations, patient engagement, and administrative coordination. Successful candidates are excellent communicators who can build trust quickly, explain services clearly, and manage multiple patient interactions efficiently while maintaining accuracy and professionalism.

Your Impact

You will play a critical role in helping prospective patients navigate their healthcare journey with confidence. By delivering a welcoming and informative experience, you will help improve patient conversion, ensure accurate information collection, and create a smooth transition into care. Your work will directly contribute to operational efficiency, patient satisfaction, and overall organizational growth.

Core Responsibilities

Patient Consultations & Onboarding – 50%

  • Conduct 1-on-1 Zoom calls with prospective patients to introduce and explain Haven’s services.
  • Answer patient questions and provide clear guidance regarding available care options.
  • Deliver a professional, empathetic, and informative experience during every interaction.
  • Build rapport and establish trust with prospective patients throughout the onboarding process.
  • Help patients understand next steps and ensure a seamless transition into care.

Scheduling & Patient Coordination – 30%

  • Schedule, reschedule, and coordinate patient appointments.
  • Gather and accurately document patient information within internal systems.
  • Manage patient follow-ups and ensure timely communication throughout the onboarding journey.
  • Coordinate next steps with internal teams to support patient readiness and continuity of care.
  • Maintain responsiveness and organization across multiple daily patient interactions.

Operations & Administrative Support – 20%

  • Track and complete assigned operational tasks efficiently and accurately.
  • Maintain up-to-date records within CRM, scheduling, and patient management systems.
  • Collaborate with cross-functional teams to ensure seamless communication and workflow execution.
  • Support process improvements that enhance patient experience and operational efficiency.
  • Adhere to healthcare privacy and compliance standards when handling patient information.

Must-Haves (Required)

  • 2+ years of experience in patient intake, telehealth, healthcare operations, or patient-facing healthcare support.
  • Experience conducting patient consultations, intake calls, or appointment coordination.
  • Strong communication and interpersonal skills, with confidence leading live Zoom conversations.
  • Ability to explain services clearly while maintaining a patient-centered and consultative approach.
  • Familiarity with CRM, scheduling, or patient management software.
  • Experience working with medical insurance information and related patient inquiries.
  • Strong organizational and time management skills.
  • High attention to detail and accuracy in documentation.
  • Ability to manage multiple calls, follow-ups, and priorities simultaneously.
  • Tech-savvy and comfortable navigating multiple digital platforms.

Nice-to-Haves (Preferred)

  • Background in US healthcare administration or telehealth operations.
  • Experience in patient conversion, admissions, or healthcare enrollment processes.
  • Familiarity with EHR/EMR systems.
  • Experience supporting high-growth healthcare organizations or startups.
  • Exposure to workflow optimization or process improvement initiatives.
