Sales Assistant (CRM, Scheduling & Sales Operations Support)

About the Role

We’re hiring a highly organized and execution-focused Sales Assistant to support a fast-moving sales team with CRM management, scheduling, proposal coordination, reporting, and sales operations support.

This is not a sales-closing role.

You’ll be responsible for keeping the sales pipeline organized, ensuring follow-ups happen on time, maintaining CRM accuracy, and helping sales representatives operate efficiently.

What You’ll Own

CRM Management & Sales Operations

  • Maintain accurate CRM records in:
    • Salesforce
    • HubSpot
    • Zoho CRM
    • Pipedrive
  • Update:
    • Leads
    • Contacts
    • Opportunities
    • Pipeline stages
  • Remove duplicate records and maintain CRM hygiene
  • Ensure clean reporting and pipeline visibility
  • Support overall sales operations and workflow organization

Scheduling & Calendar Coordination

  • Schedule:
    • Sales calls
    • Product demos
    • Follow-up meetings
    • Internal meetings
  • Coordinate calendars across multiple time zones
  • Manage scheduling using:
    • Google Calendar
    • Outlook
    • Calendly
  • Ensure sales representatives are fully prepared before meetings
  • Handle reschedules, reminders, and meeting logistics

Proposal & Sales Document Support

  • Prepare and format:
    • Proposals
    • Quotes
    • Presentations
    • Client-facing sales documents
  • Support RFP and RFI responses using approved templates
  • Create polished sales materials using:
    • Google Slides
    • PowerPoint
    • Canva
  • Proofread documents for accuracy and professionalism

Reporting & Pipeline Tracking

  • Generate weekly and monthly sales reports
  • Track:
    • Pipeline activity
    • Conversion metrics
    • Sales KPIs
  • Maintain reporting accuracy for leadership visibility
  • Support dashboard updates and operational reporting

Communication & Follow-Ups

  • Draft professional:
    • Follow-up emails
    • Meeting summaries
    • Reminder communications
  • Support inbound lead routing and coordination
  • Ensure no opportunities or follow-ups are missed

Cross-Functional Coordination

  • Collaborate with:
    • Sales
    • Marketing
    • Finance
    • Operations
  • Track internal handoffs and deal progress
  • Help eliminate communication gaps and operational delays

Requirements

Must-Have Experience

  • 1–2 years of experience in:
    • Sales Support
    • Administrative Support
    • Operations Coordination
    • Executive Assistance
  • Hands-on experience with at least one CRM platform:
    • Salesforce
    • HubSpot
    • Zoho CRM
    • Pipedrive
  • Strong scheduling and calendar management skills
  • Proficiency with:
    • Google Workspace
    • Microsoft Office
  • Strong written English communication skills
  • Highly organized with strong attention to detail
