Sales Assistant (CRM, Scheduling, Sales Support – Remote, U.S. Hours)

About the Role

We’re hiring aSales Assistant to supportsales operations, CRM management, scheduling, and proposal coordination.

In this role, you’ll keep the sales team organized and efficient by managingdata, meetings, documents, and communication — allowing Account Executives to focus on closing deals.

Responsibilities

CRM Management

  • Maintain accurate records inCRM systems (Salesforce, HubSpot, Zoho, Pipedrive)
  • Update leads, contacts, and opportunities with complete and current information
  • Monitor and clean data (duplicates, missing fields, outdated records)

Scheduling & Coordination

  • Schedulecalls, demos, and follow-ups across time zones
  • Use tools likeGoogle Calendar, Outlook, Calendly
  • Coordinate internal prep meetings and ensure reps are ready with materials

Proposal & Document Support

  • Draft, format, and proofreadsales proposals, quotes, and presentations
  • Assist withRFP/RFI responses using updated templates
  • Create and edit materials usingGoogle Slides, PowerPoint, Canva

Reporting & Metrics

  • Generateweekly and monthly sales reports from CRM data
  • Trackpipeline activity, conversion rates, and key KPIs
  • Maintain dashboards for visibility into sales performance

Communication & Follow-Up

  • Draft and sendfollow-up emails, reminders, and thank-you notes
  • Support inbound lead responses and route qualified prospects
  • Ensure timely and professional communication with prospects

Cross-Team Collaboration

  • Coordinate withmarketing, finance, and operations teams
  • Track deliverables to ensure a smooth customer journey
  • Support lead routing, contract approvals, and order processing

Requirements

  • 1–2 years of experience inadministration, sales support, or operations
  • Familiarity withCRM tools (Salesforce, HubSpot, Zoho, or Pipedrive)
  • Proficiency inMicrosoft Office or Google Workspace
  • Strong written communication and organizational skills
  • Ability to managemultiple tasks and priorities
  • Comfortable workingremote during U.S. business hours

Nice to Have

  • Experience creatingproposals, presentations, or sales collateral
  • Familiarity withlead generation workflows or SDR/BDR support
  • Experience inB2B SaaS, professional services, or marketing agencies
  • Basic data analysis skills (Excel pivot tables, Google Data Studio)
