Job Responsibilities
Front Desk
- Provide exceptional customer service to all visitors, ensuring a warm and professional first impression.Â
- Greet clients and promptly notify the appropriate team members of their arrival.Â
- Answer and direct incoming calls through the main switchboard in a courteous and efficient manner.Â
- Respond to general inquiries or route them to the appropriate staff member.Â
- Monitor and manage voicemail messages, ensuring timely responses or redirection.Â
- Ensure the reception area, boardrooms, front office, and kitchen are clean, organized, and presentable at all times.Â
- Manage the general email inbox, responding directly or forwarding messages as neededÂ
- Â Maintain up-to-date reception manuals and shared internal resources.Â
- Manage boardroom calendars to ensure accurate, conflict-free scheduling.Â
- Support the coordination of all meeting logistics, including room setup, AV/technology requirements, catering, and guest access.Â
- Sort and distribute incoming mail and packages in a timely manner.Â
- Manage outgoing courier shipments, ensuring proper documentation and tracking.Â
- Maintain a log for high-value or sensitive deliveries.Â
- Promptly notify team members of parcel deliveries.Â
- Order and replenish kitchen and common area supplies as needed.Â
- Monitor and maintain office supply inventory, placing orders as required.Â
- Respond to staff supply requests and ensure essential materials are readily available.
Administrative SupportÂ
- Provide administrative support to the Executive Assistant and department leads, including printing, scanning, filing, and document organization.Â
- Assist with ad hoc tasks and special projects as assigned.Â
Job RequirementsÂ
- Bilingual in French and English is required.
- 2-4 Â years of previous experience in a front-desk or receptionist role.Â
- Excellent telephone etiquette and communication skillsÂ
- Ability to remain calm and effective under pressure and manage competing priorities.Â
- Strong written and verbal communication skills.Â
- Proficiency in Microsoft Office, including Excel, Word, Outlook, and PowerPoint.Â
- Collaborative and dependable team player with a proactive and professional approach.Â
- Availability to work occasional evenings, weekends, and holidays based on operational needs.Â
