POSITION OVERVIEW
This role provides essential administrative, data management, and project coordination support to initiatives focused on recruiting and retaining high‑quality teachers. It requires strong organizational, communication, and interpersonal skills, along with proficiency in data handling and reporting. The position assists with scheduling, records management, and correspondence; organizes and maintains recruitment and retention data; and supports events such as job fairs and professional development sessions. Additionally, it contributes to developing resources, planning educator learning opportunities, and fostering collaborative partnerships that advance the division’s strategic goals.
Please note: This role does not allow for any form of remote work, including telecommuting or hybrid arrangements. The nature of this position necessitates a consistent in-person presence. Prospective candidates should be aware that the responsibilities associated with this role require physical presence at the designated workplace in Oklahoma City, Oklahoma.

- Knowledge & Expertise:Excellent organizational and time management skills to handle multiple tasks and priorities. Proficiency in data management and reporting using software applications. Strong communication and interpersonal abilities to engage with diverse stakeholders. Detail-oriented and able to work independently as well as part of a team.
- Administrative Support:Provide comprehensive administrative support to the division's leadership team, including scheduling meetings, preparing agendas, managing correspondence, and maintaining accurate records.
- Data Management:Assist in the collection, organization, and maintenance of data related to teacher recruitment and retention initiatives. Ensure data accuracy and produce regular reports to inform decision-making.
- Project Coordination:Coordinate and support various projects and initiatives aimed at recruiting and retaining high-quality teachers. Collaborate with teams to ensure project timelines and deliverables are met. Assist in organizing teacher recruitment events, job fairs, and professional development sessions to attract and support educators. Manage logistics, registrations, and promotional efforts.
- Fiscal, Purchasing, and Resource Coordination:Assist with purchase requests, procurement documentation, travel reimbursements, invoices, and other fiscal processes. Coordinate with appropriate agency personnel to ensure administrative and purchasing requirements are completed accurately and on time. Track office supplies, equipment, materials, and other resources. Maintain documentation supporting expenditures, contracts, and program activities, as assigned.
- Professional Development:Support the planning and delivery of professional development opportunities for educators to enhance their skills and promote career growth.
- Resource Development:Help create and disseminate resources and materials to support teacher recruitment and retention efforts. Collaborate with content experts to ensure resources are accurate and relevant.
MINIMUM QUALIFICATIONS
- Bachelor’s degree in education, business, or a closely related field;
- Four (4) years of experience in administrative support, project coordination, or similar role;
- Or an equivalent combination of education and experience, substituting one year of relevant experience for each year of the required education.
SPECIAL REQUIREMENTS
- Applicants must be currently authorized to work in the United States on a full-time basis without sponsorship;
- Successful completion of a pre-employment background check;
- Must possess a valid driver’s license from a U.S. state or territory to perform necessary job-related travel.
- Occasional (up to 10%) in-state/out-of-state travel may be required.
PHYSICAL DEMANDS AND WORK ENVIRONMENT
Location: Oliver Hodge Building, Oklahoma City, Oklahoma
Physical Demands include:
oAbility to stand, reach and bend 50% of the time;
o Operates a computer and other office productivity machinery, such as a calculator, copy machine/printer, office telephone 75% of the time;
o Ascends/descends stairs 25% of the time;
o Ability to lift to 25 lbs.
Cognitive Requirements:
o This role requires clear and accurate communication, strong analytical skills, and the ability to evaluate information and make timely decisions.
o Sustained focus and attention to detail are essential, along with memory retention of policies, procedures, and facts over various time frames.
o Adaptability and mental flexibility are also necessary to handle changing information, work conditions, and unexpected challenges.
