Role Overview:
We are seeking a reliable, organized, and detail-oriented Office Coordinator to provide remote administrative and operational support for our healthcare practice. This position plays an important role in supporting daily operations, coordinating patient services, assisting with insurance and authorization processes, and providing administrative support to our clinical and billing teams.
The ideal candidate has experience working in a medical, rehabilitation, or mental health setting and is comfortable managing multiple priorities while maintaining professionalism, accuracy, and confidentiality.
What You’ll Be Doing:
Appointment Management: Coordinate patient schedules, confirm appointments, and assist with cancellations and rescheduling requests.
Insurance Verification & Authorizations: Verify patient insurance eligibility and benefits and obtain required authorizations for medical, rehabilitation, and mental health services.
Patient Communication: Respond to patient phone calls, emails, and other communications in a timely, professional, and courteous manner. Assist with general questions and direct clinical or billing concerns to the appropriate team member.
Patient Documentation: Maintain accurate and up-to-date patient information in the Electronic Medical Record (EMR) system, enter data, upload documentation, and ensure required paperwork is complete and sent to the clinical staff.
Administrative Support: Perform general virtual office duties, including managing correspondence, organizing electronic files, completing forms, tracking outstanding tasks, and maintaining administrative records.
Team Coordination: Communicate with clinical, billing, and administrative staff to help ensure efficient day-to-day operations and a seamless patient experience.
Follow-Up & Task Management: Track outstanding authorizations, credentialing items, patient documentation, insurance requests, and other time-sensitive administrative tasks through completion.
Confidentiality & Compliance: Maintain patient confidentiality and handle protected health information in accordance with HIPAA requirements and organizational policies.
What You’ll Need:
High school diploma or equivalent required; additional education or certification in healthcare administration, medical office administration, or a related field is preferred.
Previous administrative experience in a medical, rehabilitation, behavioral health, or mental health setting preferred.
Experience with insurance verification and prior authorizations is strongly preferred.
Familiarity with Electronic Medical Record (EMR/EHR) systems.
Proficiency with Microsoft Office, including Word, Excel, and Outlook.
Strong verbal and written communication skills.
Excellent organizational, time-management, and follow-up skills.
Strong attention to detail and ability to maintain accurate records.
Ability to prioritize and manage multiple tasks independently in a remote work environment.
Knowledge of medical terminology, insurance processes, and healthcare administrative procedures preferred.
Ability to handle confidential and sensitive patient information professionally.
