Position / Job Summary
The Coordinator, Contracts and Legal Services supports the Institution of Dallas College and the Office of General Counsel by assisting primarily with the contract lifecycle, including but not limited to, reviewing and drafting contracts and legal documents, coordinating with departments and stakeholders, organizing templates and guides, assisting with training, and legal research. The role requires strong attention to detail, writing, and communication skills and will report to the General Counsel or an assigned Associate General Counsel.
Essential Duties & Responsibilities
- Assist with preparing contracts and related legal documents, ensuring efficiency, clarity, and accuracy.
- Assist internal stakeholders and departments with contract related needs; guide stakeholders through the complete contract process, including intake, drafting, review, approval, and execution.
- Coordinate with the Office of General Counsel team, internal departments and stakeholders, to gather necessary information, track deadlines, and resolve issues to facilitate timely contract completion or resolution of matters.
- Under the guidance of General Counsel and Associate General Counsel, create, update, organize, and maintain contract templates, forms, libraries, webpages, processes, workflows, and user guides to promote consistency and efficiency system wide.
- Assist with planning, developing, and delivering training for stakeholders and departments on contract processes, best practices, and use of systems and templates.
- Conduct legal research and analysis as needed to prepare concise research summaries and recommendations.
- Demonstrate timeliness in completing tasks and responding to requests promptly and professionally.
- Maintain comprehensive, accurate, and up-to-date records of contracts, correspondence, and relevant documentation within designated systems.
- Track and manage assigned tasks effectively to ensure completion within set timeframes, including timely execution and follow-up, as needed
- Provide administrative support, including document preparation and correspondence handling, scheduling and coordinating meetings, manage and update attorneys' calendars to optimize time management and workflow, and other administrative support and office tasks as assigned.
- Support attorneys with various assignments and special projects as assigned.
- Perform other job-related duties as assigned; regular and predictable attendance
- Required Dallas College Professional Development Hours per Academic Year.
- All employees are required to complete a minimum of 19 hours.
- People leaders are required an additional 16 hours of leadership development.
- Perform other duties not listed as assigned.
The following duties are required for People Leader roles specifically:
- Exercises full discretion and decision-making authority in the recruitment, selection, hiring, mentoring, coaching, development & termination of staff, ensuring alignment with organizational goals, budgetary constraints, and workforce planning strategies.
- Drive high performance by administering the performance management process timely, setting clear expectations, conducting performance evaluations, and implementing initiatives that enhance employee engagement, motivation, and retention.
Minimum and Preferred – Education, Experience, and/or Certifications
Required Qualifications for Role (necessary or mandatory)
- Bachelor’s degree or Associate’s degree and a minimum of three (3) years of experience in contract review and drafting or similar relevant experience.
Other Preferred Qualifications for Role (not mandatory, but advantageous)
- Experience as a legal assistant, legal secretary, paralegal, or in contract drafting and review is preferred.
- Proficiency in Microsoft Office (Outlook, Word, Excel), Adobe, and Workday are preferred.
- Familiarity with legal research tools and contract management platforms is preferred.
- Experience in higher education or public sector entities preferred.
- Bilingual or multilingual preferred

Required Qualifications for Role (necessary or mandatory)
- Legal acumen and experience in contract principles, document drafting, reviewing, and interpretation.
- Proficiency in contract lifecycle management, including intake, review, negotiation support, version control, compliance with terms, and execution workflow.
- Ability to conduct thorough legal research and create professional forms and documents for contracts, memoranda, guidance, and training materials.
- Strong interpersonal and communication skills with proven ability to collaborate with internal stakeholders and external parties.
- Ability to clearly communicate contractual and legal concepts for non-legal audiences.
- Exceptional attention to detail, organization, and accuracy in preparing and proofreading documents and work product.
- Exhibit strong prioritization skills, ensuring tasks are completed efficiently while maintaining a high-quality standards for work product.Â
- Proven ability to manage a high-volume workload with minimal supervision.
- Technical proficiency with Microsoft Office and familiarity with legal research databases and contract management platforms.
- Commitment and ability to maintain confidentiality and discretion.
- Must be able to reliably and consistently meet deadlines and maintain a dependable work schedule.
- Ability to support legal team and participate in inter-office meetings, requiring regular, predictable in-person presence to enable coordination of departmental work.
