TOTEME was founded in 2014 by Elin Kling and Karl Lindman. From the atelier in Stockholm, we create women’s and men’s collections spanning ready-to-wear, shoes, bags, accessories, and jewelry.

The Role

TOTEME is looking for an E-commerce Systems Specialist to join our team in Stockholm full-time. In this role, you will own the day-to-day operation of our e-commerce systems across orders, payments, fullfilment and returns, resolving technical and operational issues while continuously improving processes and reducing manual work. You will report to the E-commerce Product Manager and work directly with the E-commerce Product, Tech, Supply Chain, CRM & Loyalty, and wider E-commerce teams.

Responsibilities

• Own the setup, configuration and ongoing maintenance of operational e-commerce systems across order management, payments, fulfilment, returns and carrier routing.

• Manage day-to-day operational processes and exceptions, including returns, exchanges, refunds and cancellations.

• Coordinate operational issues with warehouses, carriers, 3PLs and other external partners.

• Manage payment reconciliation and disputes, including chargebacks, and ensure order and payment data is accurately matched across systems.

• Act as the first point of escalation for operational and technical issues, identifying root causes across integrations and data flows.

• Identify recurring manual processes and drive improvements through automation, process changes and system solutions.

• Work with platform vendors, agencies and partners to troubleshoot issues and implement improvements.

• Support the E-commerce Product team with bug reporting, backlog input, operational documentation and issue tracking.

• Use operational and BI data to identify discrepancies, recurring issues and opportunities for improvement.

• Participate in and contribute to TOTEME’s social and environmental sustainability strategy.

Your Profile

• Relevant experience in e-commerce, digital operations, systems operations or a comparable specialist role.

• Experience working with e-commerce systems across areas such as order management, payments, fulfilment and returns, with an understanding of integrations and data flows.

• Experience administering operational platforms and working with 3PLs, carriers or warehouse partners; experience with Shopify, Omnium, Ingrid, Adyen, Qlik or similar systems is beneficial.

• A degree in Information Systems or a similar technical field, or equivalent practical experience.

• Fluent in spoken and written English.

This is a full-time position based at TOTEME's Stockholm office starting upon agreement.
