Position Summary:
Reporting to the Project Principal Investigator, the Project Administrator of the IOWC (Indian Ocean World Centre) and the SSHRC funded Partnership Project (hereafter IOWC-Partnership) in the Faculty of Arts, is responsible for providing administrative support to the project. Act as contact person, organize meetings and oversee the logistics for special events.  Perform basic accounting and financial administration.   

Primary Responsibilities:

  • Participates with the Project Director in the implementation of the IOWC-Partnership project;  

  • Assists with the coordination of Partnership research activities.  

  • Act as first contact resource person to IOWC-Partnership members regarding McGill and Partnership/SSHRC policies and procedures. Provides information to IOWC-Partnership members on granting agencies, research scholarships and fellowships. Acts as liaison with University administrative offices and external organizations along with the Research Grants Office – coordinating with university and partner research offices.  

  • Administers logistics for accommodation and travel policies. Administers the logistics for the appointment of and integration of visiting professors, postdoctoral students, research and teaching assistantships. Administers the logistics of space within the IOWC for faculty members, administrative staff, students, research associates and visitors.  

  • Responsible for the physical resources of the IOWC-Partnership, purchases major equipment and supplies,  

  • Maintains and updates the IOWC-Partnership website.   

  • Responsible for the organization of logistics of IOWC-Partnership sponsored events and international conferences. Responds to public (media, member, visitors) and University inquiries to the IOWC regarding IOWC-Partnership policies, grants, awards and programs.  

  • Compiles statistical data for inclusion in IOWC and Partnership Project reports such as the Annual Report, Compact requests and Budget Planning.  

  • Acts as liaison with vendors and suppliers. Liaison with facilities service units for provision of required services to the IOWC-Partnership.  

  • Administers computer site licenses and interacts with computer support department to ensure required needs of the IOWC-Partnership.  

  • Responsible for all accounting for operating and research accounts (numbers will vary: but the team has about 30 academics and 60 students).  

  • In collaboration with the Director, prepares and tracks the operating budget and research funds. Oversees the reconciliation of accounts. Prepares financial reports as required and/or requested by the Director.  

  • Compiles sections, formats and edits documents and presentations of data in graphic formats for the Project Principal Investigator grant applications.

  • Strong leadership, organizational, interpersonal, and communication skills. 

  • Highly organized and professional; excellent judgment; discretion. 

  • Ability to effectively communicate and interact with various levels of staff and academics 

  • Demonstrated ability to work with diverse groups. 

  • Self-starter with strong problem-solving skills and ability to prioritize and multitask in a fast paced environment. 

  • Proficiency with MS Office (Word, Excel, PowerPoint, Outlook) required. 

  • Fluently bilingual in English and French. McGill University is an English-language university where day to day duties may require English communication both verbally and in writing. 

  • Good knowledge of the geography and political framework of the Indian Ocean World 

  • Demonstrated ability to work with diverse groups
