Core ResponsibilitiesÂ
Project Coordination Â
Implementation Project ManagementÂ
- Coordinate software implementation projects from kickoff through go-live and handoff to operationsÂ
- Develop and maintain project schedules, task lists, and deliverable tracking across multiple concurrent implementationsÂ
- Organize project meetings including kickoffs, weekly status calls, UAT sessions, and go-live planningÂ
- Track project milestones, dependencies, risks, and issues; escalate appropriatelyÂ
- Coordinate resources across internal teams (software engineers, integration specialists, support staff) and external vendorsÂ
- Prepare project status reports, financial summaries, and executive dashboardsÂ
- Manage project documentation including requirements, specifications, test plans, and training materialsÂ
- Support change order processing and scope managementÂ
- Coordinate equipment procurement, software licensing, and third-party servicesÂ
Financial & Budget TrackingÂ
- Build and maintain project budgets tracking all costs (labor, software, hardware, travel, services)Â
- Monitor project financials daily/weekly; generate variance reports and forecast to completionÂ
- Track invoices, purchase orders, and expense reportsÂ
- Coordinate billing milestone achievement and customer invoicingÂ
- Calculate project profitability metrics and ROIÂ
- Support contract reviews and pricing analysisÂ
Implementation ActivitiesÂ
- Coordinate data migration activities (item masters, locations, inventory, historical data)Â
- Schedule and support testing phases: functional, integration, performance, UATÂ
- Organize training sessions for client operations and IT teamsÂ
- Coordinate go-live activities including cutover planning, hypercare support, and stabilizationÂ
- Track post-implementation performance against contracted SLAs and design specificationsÂ
Operational Support Â
Daily System Operations ManagementÂ
- Monitor production systems for performance, availability, and operational issues across client baseÂ
- Serve as primary operational point of contact for assigned clientsÂ
- Conduct regular operational health checks and system performance reviewsÂ
- Track and analyze daily operational metrics: throughput, accuracy, system uptime, error ratesÂ
- Coordinate resolution of operational issues working with support teams, clients, and vendorsÂ
- Escalate critical issues following defined procedures and SLAsÂ
- Maintain operational documentation including SOPs, troubleshooting guides, and configuration recordsÂ
Client Relationship & Support CoordinationÂ
- Build and maintain strong relationships with client operations teams and key stakeholdersÂ
- Conduct weekly/monthly operational review meetings with assigned clientsÂ
- Address client concerns, requests, and escalations in a timely professional mannerÂ
- Coordinate enhancement requests and system optimization initiativesÂ
- Support client training needs for new users, refresher training, and process changesÂ
- Gather client feedback and identify opportunities for service improvementÂ
- Act as client advocate internally, ensuring their operational needs are understood and addressedÂ
System Monitoring & Performance OptimizationÂ
- Monitor system performance dashboards and operational metrics in real-timeÂ
- Identify trends, anomalies, and degradation in system performanceÂ
- Coordinate performance tuning activities with technical teamsÂ
- Track and report on SLA compliance (uptime, response time, transaction volume)Â
- Support capacity planning and scaling activities as client volumes growÂ
- Coordinate preventive maintenance windows and system upgradesÂ
- Monitor integration health between WMS,WES/WCSÂ ERP, TMS, and other connected systemsÂ
Issue & Incident ManagementÂ
- Triage and categorize incoming operational issues (severity 1-4)Â
- Coordinate incident response for critical production issues (severity 1/2)Â
- Facilitate troubleshooting efforts across technical teams and vendorsÂ
- Communicate status updates to clients during incident resolutionÂ
- Document issues, root causes, and resolutions in ticketing systemÂ
- Track issue trends and drive continuous improvement initiativesÂ
- Conduct post-incident reviews and ensure corrective actions are implementedÂ
Operational Data & ReportingÂ
- Generate daily/weekly/monthly operational reports for clients and internal stakeholdersÂ
- Create and maintain operational dashboards showing key performance metricsÂ
- Analyze operational data to identify improvement opportunitiesÂ
- Track warehouse performance metrics: throughput, accuracy, productivity, equipment utilizationÂ
- Monitor system performance metrics: transaction volumes, response times, error rates, uptimeÂ
- Prepare quarterly business reviews (QBRs) for assigned clientsÂ
- Benchmark client performance against industry standards and peer operationsÂ
Continuous ImprovementÂ
- Identify and drive operational efficiency improvements for clientsÂ
- Coordinate implementation of process improvements and system enhancementsÂ
- Support optimization projects (slotting, wave planning, labor standards, equipment utilization)Â
- Lead or participate in root cause analysis for recurring issuesÂ
- Document and share best practices across client baseÂ
- Coordinate lessons learned sessions and knowledge transferÂ
Vendor & Partner CoordinationÂ
- Coordinate with software vendors (WMS, WCS providers) on support issues and enhancementsÂ
- Manage relationships with equipment vendors for maintenance and supportÂ
- Coordinate with system integrators and third-party service providersÂ
- Track vendor SLA compliance and performanceÂ
- Escalate vendor issues and coordinate resolutionÂ

Education & ExperienceÂ
- Bachelor's degree in Business, Supply Chain, Computer Science, Engineering, or related fieldÂ
- 3-5 years of combined experience in project coordination and operational support rolesÂ
- Experience with software systems in warehouse, distribution, or logistics environmentsÂ
- Demonstrated ability to manage both project work and ongoing operational responsibilitiesÂ
- Experience supporting production systems and handling critical incidentsÂ
- Strong track record of client relationship managementÂ
