Pathways Administrator – Be the Connection | Kaikaranga
At Kaikaranga, every referral, email or follow-up is a moment of connection for individuals or whānau reaching out at a time that matters. We are looking for a Pathways Administrator who understands that behind every task is a person waiting to be seen, heard, and supported. This is a role for someone who finds satisfaction in getting the details right, because for the people we serve, the detailsare the care.
What you will be the connection for:
You will be the capable person keeping our referral portals, emails, and system running smoothly, making sure information flows accurately and on time between clients, referrers, and our internal teams, so nothing falls through the cracks and no individual or whānau is left wondering what happens next.
You will:
- Upload and prioritise new referrals in Socrates using our risk and prioritisation framework
- Provide support in the Pathways inbox by allocating tasks, actioning queries, and escalating where needed
- Help manage the referral portals and communication of outcomes
- Request further documentation or information when a referral needs it
- Send acknowledgement messages and provide basic guidance on documentation requirements
- Keep records, correspondence, and data entry accurate and audit-ready across all systems
- Acknowledge and escalate complaints or appeals appropriately
- Protect the privacy and dignity of every person whose information passes through your hands, in line with the Code of Rights and relevant legislation
- Support scheduling by allocating referrals and monitoring workflow across teams
What you will bring:
- Strong administrative and organisational skills, with an eye for accuracy
- Confidence working across digital systems, portals, and either Socrates or a similar case management system
- A genuine commitment to confidentiality and treating people with respect
- Clear, warm communication - whether it's a phone call, an email, or a note in a file
- The ability to stay steady, organised, and solutions-focused when things get busy
