The Office Administrator is responsible for managing and maintaining employee records and performing all administrative tasks related to government portals such asQiwa,Muqeem, andTamm. The role includes coordinating with employees on HR matters, ensuring compliance with Saudi labor regulations, and supporting daily office operations efficiently.

1. Government Portal Management

  • Handle all tasks related toQiwa, including employment contracts, renewals, and transfers.

  • ManageMuqeem for issuing, renewing, and cancelingIqamas (residency permits) and updating employee information.

  • UtilizeTamm for vehicle-related procedures such as transfer, renewal, and authorization.

  • Coordinate withGOSI,Mudad, andChamber of Commerce when needed.

  • Ensure all company and employee data on these platforms are accurate and updated regularly.

2. HR & Employee Coordination

  • Communicate with employees regardingIqama renewal, exit/re-entry, and transfer processes.

  • Prepare and maintainemployee files, vacation records, and attendance tracking.

  • Assist in onboarding new employees and coordinating with them for necessary documentation.

  • Support HR department in drafting letters, certificates, and internal memos.

  • Coordinate withPROs and external agencies when required for government processes.

3. Office Administration

  • Support in maintaining general office organization, documentation, and filing systems.

  • Handlebasic procurement of office supplies and stationery.

  • Assist in preparingreports and summaries for management review.

  • Maintain confidentiality of employee and company records at all times.

  • Bachelor’s Degree or Diploma inBusiness Administration, Human Resources, or a related field.

  • 2–4 years of relevant experience in office administration or HR coordination within Saudi Arabia.

  • Solid experience usingQiwa,Muqeem, andTamm portals.

  • Basic knowledge ofSaudi Labor Law and HR procedures.

  • Good command ofArabic and English (spoken and written).

  • Strong communication and organizational skills.

  • Proficiency inMicrosoft Office (Word, Excel, Outlook).

  • Experience withGOSI, Mudad, and Absher Business portals.

  • Ability to manage multiple administrative tasks efficiently.

  • Attention to detail and reliability in handling sensitive data.

  • Positive attitude and team-oriented approach.
