Parts Inventory Associate III - BMW of El Cajon

Job Summary:Â
Parts Inventory Associate III oversees the management and control of all parts inventory within the dealership. This includes supervising the parts inventory process, ensuring stock levels are maintained efficiently, and optimizing inventory turnover. The role is responsible for ensuring that parts are available for the service department and retail customers, managing inventory records, and ensuring accurate and timely ordering, receiving, and stocking of parts. Parts Inventory Clerk III also manages vendor relationships and ensures compliance with dealership policies.
Essential Functions:
- Ensure that parts inventory levels are sufficient to meet customer demand while avoiding overstock or obsolete parts.
- Analyze inventory data, historical usage, and sales trends to place timely orders for parts, ensuring adequate stock for both service and retail needs.
- Implement and maintain an effective inventory control system (e.g., FIFO: First In, First Out) to minimize parts obsolescence and loss.
- Allocate parts appropriately for service repair orders, special orders, and customer sales to ensure timely order fulfillment.
- Lead regular cycle counts and full physical inventory audits to ensure inventory accuracy and resolve discrepancies between physical stock and system records.
- Reconcile any differences between recorded and actual stock levels and develop strategies to minimize discrepancies.
- Generate inventory reports that include stock levels, turnover rates, aging inventory, sales trends, and order history. Analyze reports and make recommendations to management for improving stock management.
- Supervise the receipt of parts shipments, ensuring that the correct parts, quantities, and quality standards are met.
- Verify shipments against purchase orders and resolve any discrepancies.
- Manage returns of defective or incorrect parts, working closely with suppliers to ensure proper documentation and credits.
- Establish and maintain positive relationships with parts vendors and suppliers.
- Negotiate pricing, delivery terms, and return policies to ensure favorable terms for the dealership.
- Track vendor performance in terms of timely deliveries, product quality, and order accuracy. Resolve any issues related to supplier errors, delays, or disputes.
- Ensure parts are readily available for the service department to minimize downtime and support efficient repair operations.
- Work closely with service managers to anticipate parts needs for upcoming repair orders.
- Oversee the fulfillment of parts orders to retail customers, ensuring accurate and timely delivery of parts.
- Ensure that all parts inventory processes and activities comply with dealership policies, industry standards, and legal regulations.
- Ensure parts are stored in accordance with safety protocols to prevent accidents or damage.
- Maintain satisfactory attendance.
- Perform other related duties as assigned.

Qualifications:
Minimum Qualifications:
- 3 - 4 years of experience in inventory management, warehouse operations, or a related role.
- Familiarity with dealership management systems (DMS) and inventory management software.
- Ability to lift up to 50 pounds at times.
- Ability to perform all essential functions of the job description.
Preferred Qualifications:
- Extensive knowledge of inventory control procedures, ordering, receiving, and tracking parts.
- Strong leadership abilities with experience managing, training, and motivating a team.
- Ability to analyze inventory data, recognize trends, and make data-driven decisions to optimize inventory levels and reduce costs.
- Excellent verbal and written communication skills for interacting with team members, vendors, service managers, and customers.
- Ability to identify and address inventory issues, such as discrepancies, stockouts, and vendor problems.
- Ability to efficiently organize inventory systems, optimize storage, and manage time-sensitive tasks.

- Frequently stands, walks, sits; uses hands; frequently reaches with hands and arms; frequently talks and hears.
- Occasionally climbs or balances; occasionally stoops, kneels, crouches, squats or crawls; occasionally lifts up to 50Â Â pounds.

- Involves working in a warehouse or parts department environment.
- May require exposure to varying weather conditions.
- Use of personal protective equipment (PPE) like gloves, safety glasses, and steel-toed boots may be required to ensure safety while handling parts and equipment.
