BOLI,Employer Assistance Division is seeking an Administrative Coordinator (AS2) to support core program operations and deliver high‑quality customer service. This Portland‑based hybrid position requires onsite work at least two days per week and plays a key role in coordinating statewide trainings, managing complex administrative workflows, and providing accurate guidance on wage and hour and civil rights laws. The role is essential to ensuring smooth program functioning, responsive service, and consistent support for both internal and external stakeholders.

- Respond to high‑volume employer inquiries regarding wage and hour and civil rights laws, providing accurate information and directing customers to appropriate resources.
- Coordinate logistics for Employer Assistance Division training, including webinars, seminars, and the annual conference, ensuring smooth delivery and high‑quality customer experience.
- Process publication orders, seminar registrations, invoices, and payments while maintaining accurate accounting and tracking systems.
- Prepare and format division publications, handbooks, marketing materials, and training documents using graphic design tools and agency templates.
- Manage division inventory, supply ordering, mailing coordination, publication print orders, and serve as the primary contact for website updates and related operational needs.
- Provide administrative support to the manager, including compiling monthly metrics and assisting with additional program‑support tasks.

Three years of secretarial or administrative support experience that includes coordinating office procedures, preparing narrative and statistical reports, and administrative data collection and analysis.

An associate degree in general office occupations and two years of secretarial or administrative support experience that includes coordinating office procedures, preparing narrative and statistical reports, and administrative data collection and analysis.

Special Qualifications (Required)
- Ability to work onsite for a minimum of two days per week in our Portland office.
- Experience managing high‑volume administrative workflows, including inquiries, orders, invoicing, or event coordination.
- Experience producing formatted publications or training materials with accuracy and consistency.

Working Conditions:
This position requires frequent use of a computer and telephone, with regular engagement in high‑volume communication. The role involves standing for moderate periods to pack seminar materials, occasionally lifting and moving boxes up to 50 pounds, and assisting with onsite seminar setup, including carrying materials and arranging equipment, tables, and chairs. The employee may interact with frustrated or hostile customers both in person and over the phone. A regular 8:00 a.m. to 5:00 p.m. schedule and consistent attendance are essential, as the Employer Assistance Division depends on this position to respond promptly to employer inquiries when training staff and the manager are conducting seminars or working offsite.
