Last Revision Date: October 2020 Summary Perform all job file coordinator tasks related to customer calls, job monitoring, tracking, coordination, and audits of jobs. Create preliminary estimates and job file backup. Perform general office duties, such as drafting correspondence, filing, and creating reports.Â
Primary Roles and Responsibilities 1. Job File CoordinationÂ
a. Monitor job file status
 b. Monitor job file audit statusÂ
c. Maintain job file WIPsÂ
d. Monitor and ensure client requirements are followedÂ
2. Job File DocumentationÂ
a. Review and validate initial field documentationÂ
b. Create preliminary estimateÂ
c. Perform daily job file coordinationÂ
d. Perform job file backupÂ
3. Job File Communication and ReportingÂ
a. Maintain internal communications
 b. Maintain external communicationsÂ
c. Prepare job file reports
 4. Job File Communication and ReportingÂ
a. Complete and review job file documentation for final upload and the audit processÂ
b. Complete job file audit process
 c. Perform job close-out Each SERVPRO® Franchise is Independently Owned and Operated 2 Necessary Experience and Skill Set • A minimum two years of business experience • Working knowledge of current business software technologies • Superb customer service, administrative and verbal and written communication skills • Experience in the commercial cleaning and restoration or insurance industry is desired • Experience in writing estimates and the job file process Formal Education/Training • High school diploma/GED • Associates/bachelor’s degree preferred Physical and Work Environment Requirements This is a largely sedentary role in an office environment. However, some filing is required. This would require the ability to lift files, open filing cabinets, and bend or stand on a stool as necessary. Normal Working Hours, Additional Working Hours and Travel Requirements This is a full-time position working 7:00 a.m.–4:00 p.m., Monday through Friday. This position may require longer hours and some flexibility in hours may be needed dependent upon the business needs.
