Keep the Sales Team Moving
- Track and coordinate activities for the Sales Department.
- Provide daily administrative and sales support to assigned Sales Managers.
- Answer the sales lead line and distribute leads to the appropriate Sales Manager.
- Track sales leads and maintain accurate lead information.
- Enter lead details into Delphi and keep information current.
- Generate proposals and create contracts in Delphi.
- Manage and update online lead tools.
- Assist Sales Managers with a variety of daily projects and requests.
Create Exceptional Client Experiences
- Coordinate customer and site visits with departments throughout the Resort.
- Help ensure every client interaction is professional, organized, and welcoming.
- Communicate important updates and last-minute changes to the appropriate Resort departments.
- Maintain composure and professionalism in high-pressure situations.
Be the Organizational Expert
- Maintain a thorough understanding of the sales lead process and stay current with changes and updates to Delphi.
- Process Sales Department invoices.
- Manage and maintain the department's shared drive.
- Prepare mail-outs including thank-you letters, comment letters, re-booking reminders, and other correspondence.
- Proofread documents and correspondence for accuracy, spelling, and grammar.
- Complete special projects and assignments as needed.
- Help keep department information organized, accurate, and accessible.
Support Resort Leadership
- Provide administrative support to the Managing Director, including expense reports, gift certificates, correspondence, documentation, and other executive administrative needs.
- Coordinate and prioritize requests from multiple leaders while ensuring deadlines and follow-up items are completed accurately and on time.
- Serve as an administrative liaison between Sales leadership, the Managing Director, Resort departments, clients, and external partners.
- Handle sensitive and confidential business information with professionalism and discretion.
- Support the development of future team members and help prepare for succession as opportunities arise.

You should have:
- High school diploma or equivalent.
- Excellent communication skills and the ability to accurately communicate and distribute information.
- Strong organizational and time-management skills.
- A friendly, professional, and positive personality.
- Strong typing, filing, and general office skills.
- Proficiency with Microsoft Office applications.
- Experience with event planning or hospitality management software is a plus.
- Ability to type at least40 words per minute.
- Professional appearance and demeanor.
- Ability to read, write, speak, and comprehend English.
- Excellent telephone and customer-service skills.
- The ability to maintain accuracy and professionalism while managing multiple priorities.
