STATEMENT OF JOB
The Hybrid Instructor Floater / Office Assistant is a dual-role position designed to provide both direct program coverage and administrative support to Central Valley Training Center’s Jackson and Valley Springs programs.
The position is scheduled for approximately34 hours per week, with approximately15 hours per week dedicated to Office Assistant responsibilities and19 hours per week dedicated to Instructor Floater responsibilities, including providing coverage for employee rest breaks, meal periods, trainings, and other direct-service needs.
Jackson is the employee’s primary site and schedule group. However, this position supports both the Jackson and Valley Springs programs, and the employee must be willing and able to work at either location based on program and workload needs.
Initial Office Assistant training may take place primarily at the Valley Springs location to provide hands-on training and establish a strong understanding of administrative responsibilities. Following training, the employee is expected to work primarily at Jackson while providing ongoing support to both programs.
The employee may generally be scheduled at Valley Springs approximately one day per week, with additional Valley Springs coverage as operational needs require. The specific allocation of days between locations may change based on workload, staffing, training, and program needs.
The employee will utilize SharePoint and other Agency systems to assist with monitoring administrative workload and documentation for both locations and will communicate with site staff when documents, information, or follow-up are needed.
This position requires flexibility and the ability to transition between direct participant support and administrative responsibilities throughout the workday.

Schedules, work locations, and the allocation of Instructor Floater and Office Assistant hours may be adjusted based on program needs.
A typical workday may include administrative duties and attendance responsibilities during the morning, Instructor Floater coverage during staff breaks and meal periods, and additional administrative duties, documentation, or training later in the day.
ESSENTIAL DUTIES AND RESPONSIBILITIES
Instructor Floater Responsibilities

Provide group coverage for employee rest breaks, meal periods, trainings, and other direct-service needs as assigned.

Provide direct individual and group instruction to assigned participants in accordance with participant abilities, goals, Agency training levels, and Agency goals.

Provide appropriate supervision of participants and implement age-appropriate training activities.
-
Apply Agency training methods to maintain structure and consistency within the program environment.
-
Maintain an environment that promotes non-aversive behavior programming and positive interactions with participants.
-
Respond appropriately during behavioral or other crisis situations using good judgment and Agency-approved techniques.
-
Collect participant data accurately and completely.
-
Thoroughly and accurately complete required program documentation and paperwork.
-
Utilize individualized participant assessments and plans as appropriate.
-
Communicate pertinent participant and program information to appropriate staff.
-
Assist with participant outings and activities when assigned.
-
Assess and respond appropriately to participant physical and health needs and communicate concerns to management.

Maintain a clean, organized, professional, and safe program environment.
Office Assistant Responsibilities

Assist with front-office operations and provide administrative and clerical support to the Jackson and Valley Springs programs.

Assist with daily attendance and related documentation.

Receive, monitor, and direct incoming calls; take messages and communicate appropriate follow-up.

Greet visitors, answer questions, provide directions, and assist with general front-office needs.

Perform data entry, word processing, filing, scanning, and other clerical duties.
-
Maintain organized electronic and physical records.
-
Assist staff with daily, periodic, and monthly reports as assigned.

Assist with program documentation and correspondence related to participant services.
-
Review documentation for completeness and accuracy as assigned.
-
Assist with monthly attendance reporting and other routine administrative processes.

Utilize SharePoint and other Agency systems to monitor documentation and administrative needs for both Jackson and Valley Springs.

Communicate with staff at both locations to obtain missing documents or information and coordinate scanning/uploading when appropriate.

Maintain an organized and professional office environment.

Assist management with administrative projects, trainings, and other duties as assigned.

Maintain confidentiality of participant, employee, and Agency information.
MULTI-SITE & FLEXIBILITY EXPECTATIONS
Because this position supports two program locations, the employee must understand and agree to the following:

Jackson is the primary work location and schedule group.

Initial training may occur primarily at theValley Springs location.

After training, the employee is expected to work primarily in Jackson while continuing to support administrative needs for both programs.

The employee may be scheduled to work in Valley Springs approximately one day per week and may be required to work there additional days based on workload or program needs.

Work location and duties may change from day to day based on staffing, participant coverage, administrative workload, training needs, and operational priorities.

The employee must be comfortable transitioning between direct-care Instructor responsibilities and administrative Office Assistant responsibilities within the same workday.

Reliable transportation between work locations is required when travel between sites is assigned.

The employee is expected to communicate effectively with leadership and staff at both locations and remain responsive to the needs of both programs.

EDUCATION AND/OR EXPERIENCE
High school diploma or equivalent required.
Experience working in an office, clerical, administrative, or technical support environment is preferred.
Experience working with adults with intellectual disabilities is desirable.

The employee must successfully complete and maintain Agency-required training applicable to the position, which may include:

PHYSICAL DEMANDS

Because this hybrid position includes Instructor Floater responsibilities, the employee must be able to perform the physical requirements associated with direct participant services, including sitting, standing, walking, bending, squatting, crawling, climbing, running, kneeling, reaching, talking, and hearing.
The employee must occasionally be able to lift and/or move up to 50 pounds and must be able to respond appropriately when participant intervention is required.
ESSENTIAL REQUIREMENTS OF THE JOB
Must possess a valid California-issued Driver’s License.
Must maintain personal automobile liability insurance that meets Agency requirements.
Must have a reliable vehicle available for work-related use as required.
Driving record must meet Company hiring and employment standards.
Must be willing and able to travel locally between Jackson and Valley Springs and for other assigned Agency business.
Must be physically and mentally fit to perform direct-service responsibilities in accordance with Company Physical and Mental Fitness standards.
Must successfully complete required health screening requirements, including physical examination, drug screening, and TB testing.
Must meet applicable state personnel licensing standards.
Must successfully complete and maintain required CPR and First Aid certification.
Must successfully complete required behavioral and crisis-intervention training.
Must maintain confidentiality of participant, employee, and Agency information.
Must be able to work effectively in both administrative and direct-service environments.
