Position Overview:
The Finance & Database Manager is a hands-on role that combines core accounting and finance responsibilities with organization-wide database administration. The position maintains accurate financial, donor, vendor, and organizational records; supports reporting and reconciliations; and helps ensure strong data integrity, documentation, and financial controls.
Supervisory Responsibilities and/or Collaborative Responsibilities:
This position does not have direct reports. The Finance & Database Manager works closely with the Assistant Director, Finance & Administration; Chief Operating Officer; Finance & Administration Coordinator; Development; Operations; internal database users; vendors; and external accounting and audit partners.
Essential Functions:
• Manage day-to-day accounting activity, including reconciliations, journal entries, payment and billing workflows, and financial reporting support.
• Maintain accurate donor, financial, vendor, and organizational records across designated accounting, donor, and database systems.
• Monitor data integrity, completeness, and consistency; research and resolve record discrepancies with appropriate stakeholders.
• Prepare recurring and ad hoc reports and support reconciliations between database, donation, vendor, and financial records.
• Coordinate donor acknowledgments, supporting documentation, filing, and retention with Development and other internal partners.
• Maintain database procedures, user access, permissions, and documentation in accordance with established controls and business needs.
• Support audit readiness, internal controls, process improvement, and confidential handling of financial and organizational data.
• Respond to routine finance and database questions and provide clear guidance on documentation, reporting, payment, and reimbursement processes.
Qualifications
• Bachelor's degree in Accounting, Finance, Business Administration, or a related field, or an equivalent combination of education and experience.
• Four to six years of progressive accounting, finance, database administration, or closely related experience; nonprofit experience is preferred.
• Working knowledge of accounts payable, accounts receivable, reconciliations, journal entries, financial reporting, data management, and records administration.
• Experience using accounting, payment, donor management, CRM, or comparable data-management systems; Intacct and Bill.com experience are preferred.
• Strong Excel skills; sound judgment; strong organization and communication skills; and a demonstrated commitment to confidentiality and accurate documentation.
• Demonstrated ability to independently manage recurring reconciliations, reporting, data integrity, and finance or database processes while managing detail-heavy work, competing priorities, and deadlines with reliability, collaboration, and a process-improvement mindset.
Physical Requirements:
This position performs primarily computer-based work and requires the ability to remain in a stationary position and use a computer and standard office equipment for extended periods. The role may occasionally require moving supplies or files and attending meetings or events at other local sites.
The Details:
• Position Location: Washington, DC
• Employment Status: Full-time, exempt
• Salary/Pay Range: $65,000-$75,000 annually, depending on qualifications, relevant experience, and internal equity
