Supply Chain Administrator
The Supply Chain Administrator is responsible for supporting the day-to-day operation of the supply chain, with a particular focus onsupplier communications & data and proactive customer updates.
The role acts as an important link between suppliers and customers. The successful candidate will monitor supplier notifications, identify changes that could affect customer orders or service levels, and proactively contact customers by telephone and email to keep them informed.
The overall objective is to turn unavoidable supply chain disruption into a well-managed customer experience through proactive, accurate and timely communication.
This role is ideal for someone who is organised, confident speaking with customers, comfortable working with high volumes of data and able to communicate potential issues clearly and professionally.
Reporting to the Supply Chain Team Leader, the Supply Chain Administrator will work collaboratively with the team, suppliers, customers and wider business to ensuring all essential daily tasks are completed and information is received within set timeframes.
Responsibilities
- Monitor and manage incoming supplier notifications, including changes to lead times, missed collections and customer at fault queries
- Escalate significant service issues to the appropriate team member
- Manage customer expectations professionally and provide realistic, accurate information.
- Record customer conversations, actions and agreed next steps accurately within company systems.
- Follow up telephone conversations with written confirmation where appropriate.
- Identify recurring supplier or service issues and highlight trends to the Supply Chain Manager.
- Liaising with suppliers on any skip quotations
- Help reduce inbound queries and complaints through timely, proactive communication.
- Support the wider supply chain team with general administration, reporting and order management.
- Assisting with any other duties undertaken by colleagues in their absence.
Person Specification
- Excellent telephone manner and confidence speaking directly with customers.
- Confident and approachable personality that customers/suppliers will respect and appreciate
- The ability to prioritise effectively when managing multiple supplier and customer issues.
- Open to flexibility and changes where required
- An understanding of data and how to use this to make informed choices / support arguments
- Confidence handling difficult conversations and communicating delays or changes.
- Comfortable challenging suppliers as and when required
- Strong organisational and time-management abilities.
- Good communication and teamwork skills.
- Attention to detail and accuracy.
- Proactive approach to problem-solving
Experience and Qualifications
- Experience of working within an administrative, customer service or supplier focused environment
- Experience communicating with customers/suppliers via telephone and email.
- Ability to understand data using the company CRM, Microsoft Outlook and Microsoft Excel
- Experience of working within Waste Management would be advantageous but not essential
