Ā 

This position is responsible for:

Plans, coordinates, and monitor all legal information coming into the HR Department; Prepares legal documents, performs legal research, reads and interprets legal documents; communicates with attorneys and other professionals; responds to inquiries from Corps, Territorial Headquarters, Divisional Headquarters officers and employees and outside sources regarding EEOC and legal actions, interpretation of Territorial Minutes, legal documents; researches and analyzes files and correspondence for Divisional Finance BoardĀ  review, approval and recommendation; processes legal documents to and from the Territorial Legal Secretary, attorneys and the Corps. Ensures the legal procedures are in compliance with governing legal and Salvation Army regulations.

Key Responsibilities:

  • Acts as first point-of-contact and serves as liaison among attorneys, other professionals, and Corps officers for the timely and accurate processing of legal documents and for exchange of information.

  • Supervises and monitors the processing of all documents and correspondence from attorneys or other professionals regarding any matter arising from an HR legal issue, including forwarding to Territorial Headquarters; ensures compliance with deadlines required by these documents; ensures same are filed timely and accurately; ensures they are scanned and archived routinely.

  • Receives, reviews, logs, tracks, and coordinates employment-related legal matters, including EEOC and other administrative agency charges, lawsuits, subpoenas, summonses, complaints, demand letters, notices, requests for information, discovery requests, attorney correspondence, and other legal documents.

  • Maintains a comprehensive HR legal case-management and tracking system identifying the nature and status of each matter, responsible parties, counsel assigned, required actions, applicable deadlines, documents submitted, and final disposition;

  • Coordinates administrative support for EEOC charges and other federal, state, and local employment-related agency complaints, investigations, claims, and lawsuits. Works with the Divisional HR Director, Territorial Headquarters Legal, and authorized counsel to gather documentation, prepare factual chronologies and case materials, coordinate responses, schedule interviews and meetings, track deadlines, and maintain complete case files.

  • Prepares, processes, and tracks HR Legal requisitions and requests for legal assistance submitted to Territorial Headquarters, ensuring requests contain complete and accurate background information, relevant documentation, required approvals, case chronology, and supporting materials. Serves as the Divisional HR point of contact for follow-up information requested by Territorial Headquarters Legal and monitors matters through completion.
  • Provides legal training and other management training in support of reducing legal issues throughout the Division to include accurately and succinctly writing incident reports , rationale for properly documenting employee issues, communication, and file maintenance.

  • Maintains a working understanding of the general progression of employment-related administrative and legal proceedings, including agency charges, investigations, litigation, discovery, mediation, settlement, hearings, and other dispositions, in order to accurately identify documents, prioritize time-sensitive matters, coordinate responses, and communicate effectively with legal counsel and HR leadership.

  • Coordinates preparation for and attends, as appropriate, mediations, depositions, hearings, attorney conferences, and other employment-related legal proceedings; organizes case materials and assists HR leadership and counsel with administrative and factual support.

KNOWLEDGE, SKILLS AND ABILITIES:

  • Thorough working knowledge of legal terminology, legal documents, litigation procedures, administrative agency proceedings, and the general progression of employment-related legal matters.

Ā 

  • Working knowledge of terminology and processes associated with EEOC and other administrative charges, complaints, lawsuits, subpoenas, summonses, pleadings, discovery, interrogatories, requests for production, depositions, affidavits, mediations, settlements, hearings, litigation holds, and other employment-related legal proceedings.

Ā 

  • Ability to read and comprehend legal correspondence, agency charges, subpoenas, pleadings, court documents, discovery requests, attorney correspondence, and other legal materials and to identify required actions, responsible parties, response deadlines, and appropriate escalation.

Ā 

  • Ability to understand the general procedural progression of a legal matter from initial complaint or charge through investigation, administrative proceedings, litigation, discovery, mediation, settlement, trial, or other disposition.

Ā 

  • Knowledge of confidentiality requirements and principles associated with attorney-client privileged communications, attorney work product, employee records, investigations, litigation materials, and other sensitive information.

Ā 

  • Ability to organize complex factual and legal information, develop case chronologies, assemble supporting documentation, maintain comprehensive legal case files, and accurately track multiple legal matters and deadlines simultaneously.

Ā 

  • Ability to recognize matters requiring immediate escalation to the Divisional HR Director, Territorial Headquarters Legal, or authorized legal counsel.

Ā 

  • Ability to exercise sound judgment and discretion while understanding the distinction between coordinating and administering legal matters and independently providing legal advice.

WHAT WE ARE LOOKING FOR IN YOU

  • Bachelor’s degree in paralegal studies or related degree with a current paralegal certificateAND Ā five to seven years progressively responsible experience performing paralegal duties in an office environment (preferably a law office) with at least two years management experience.
  • ORAny equivalent combination of education and experience which provides the required knowledge, skills, and abilities.
