Specialist – HR Operations

Role purpose

As Specialist – HR Operations, you will support the day-to-day delivery of HR services for our Miami team. You will manage HR administration across the employee lifecycle, maintain accurate employee records and HR systems, and partner with local and global HR colleagues on payroll, benefits, compliance, and employee support.

 

This position will be responsible for ensuring HR operations run smoothly and accurately for the Miami team, acting as a trusted first point of contact for employees, managers, and cross-functional partners, in line with Accelya´s global business strategy, values and mission.

 

Duties & Responsibilities:

  • Administer day-to-day HR processes and maintain accurate employee information in HR systems, including Workday and TriNet.
  • Coordinate onboarding and offboarding activities, including required documentation, system updates, employee communications, and handoffs with payroll, IT, and other partners.
  • Maintain, organize, and safeguard personnel records in accordance with company policies and applicable recordkeeping requirements.
  • Partner with local and global HR teams to coordinate payroll administration, benefits enrollment and changes, leave of absence processes, and employee relations support; escalate complex or sensitive matters to the appropriate HR leader or specialist.
  • Serve as the first point of contact for payroll questions and changes; review payroll inputs, support payroll processing, and audit results to help resolve discrepancies promptly.
  • Respond to routine HR inquiries from employees, candidates, managers, and Finance, providing timely guidance and directing complex matters to the appropriate team.
  • Prepare and maintain HR reports and workforce data; review records for accuracy and resolve data discrepancies.
  • Support the administration of HR policies, programs, and employee communications, coordinating updates with HR, Legal, and Operations as needed.
  • Support compliance with applicable federal, state, and local employment requirements by maintaining documentation, tracking deadlines, and escalating potential issues.

Required Experience & Skills:

  • 3–5 years of experience in HR operations, HR administration, or a generalist role, including hands-on support across the employee lifecycle.
  • Experience with payroll administration and employee benefits processes.
  • Experience with HR information systems (e.g., Workday, TriNet, or similar platforms).
  • Strong Excel and Microsoft Office skills, with the ability to maintain reports, analyze data, and identify discrepancies.
  • Strong organizational skills, attention to detail, and follow-through while managing multiple priorities and deadlines.
  • Clear written and verbal communication skills and a service-oriented approach to employee and manager inquiries.
  • Sound judgment when handling confidential information and escalating sensitive or complex issues.
  • Ability to work independently and collaborate effectively with local and global HR teams and cross-functional partners.
  • Bachelor's degree in Human Resources, Business Administration, or a related field, or equivalent relevant experience.

 

Preferred Experience & Skills:

  • Familiarity with leave administration and employment-related/employment law requirements.
  • Direct experience with Workday and TriNet specifically.
  • HR certification (e.g., SHRM-CP, PHR) is a plus.
  • Experience supporting multi-state or multi-country HR operations within a global organization.
