Operations Analyst - Founder Shield

JOB DESCRIPTION SUMMARY:
We are looking for a detail-oriented Operations Analyst to support our internal operations and people teams. This is a cross-functional role that spans system administration, data integrity, employee training processes, as well as supporting ad hoc projects and initiatives. You’ll work closely with our operations leads to keep our platforms and systems accurate, our colleagues set up for success, and our training resources polished and up to date.Â
System & Data IntegrityÂ
- Manage and reconcile Ascend identifiers within our accounting partner system to ensure accurate, up-to-date records in the customer relationship manager platform (CRM)Â
- Perform regular data audits between systems to identify and resolve discrepanciesÂ
- Runs reports and maintains clean, consistent data across all integrated platformsÂ
User & Account ManagementÂ
- Create and manage colleague profiles in insurance platforms
- Provision new user accounts in various systems (such as e-signature platform, accounting system, etc.) as part of the colleague onboarding processÂ
- Ensure timely and accurate setup of all system access for incoming colleaguesÂ
- Coordinate offboarding access removal when applicable in collaboration with HR and the Operations team.Â
Onboarding & Training SupportÂ
- Assist with new colleague onboarding logistics, including schedule creation and onboarding calendar managementÂ
- Co-facilitate core tools training sessions alongside the operations lead, with a path toward leading sessions independentlyÂ
- Support a smooth day-one experience by coordinating across teams to ensure onboarding is structured and consistentÂ
- Lead content export projects and ongoing maintenance of training modules in Learning Management System (LMS)Â
- Compare, update, and refresh learning resources to keep information accurate and currentÂ
- Issue benchmark assessments and track completion as directedÂ
Branding & Resource FormattingÂ
- Apply updated branding guidelines to internal resources, templates, and training materialsÂ
- Ensure consistency and visual cohesion across all people ops and business ops documentsÂ
- Support the creation of new materials that align with current brand standardsÂ
General Business Operations SupportÂ
- Serve as an internal point of contact for platform access and account-related questionsÂ
- Document operational processes and keep standard operating procedures up to dateÂ
- Identify opportunities to streamline recurring workflows and improve operational efficiencyÂ
- Support the ops team with ad hoc projects and administrative tasks as neededÂ
Qualifications RequiredÂ
- 1–3 years of experience in operations, administration, or a similar roleÂ
- Strong attention to detail and data management, especially when working with data across multiple systemsÂ
- Comfortable learning new software platforms quickly and in a fast-paced environmentÂ
- Highly organized with the ability to manage multiple recurring tasks simultaneouslyÂ
- Collaborative, clear, and proactive communicator with strong interpersonal skillsÂ
- A self-starter who takes initiative to identify problems and figure out practical solutionsÂ
Nice to HaveÂ
- Prior experience with Salesforce, DocuSign, or similar business toolsÂ
- Familiarity with a learning management system (Canvas or similar)Â
- Eye for design and experience applying brand guidelines to documents or templatesÂ
- Familiarity with accounting or CRM data workflowsÂ
- Experience in a startup or fast-paced operations environmentÂ
