The Site Lead- Non-RN provides in-person and local coordination for daily practice operations at an assigned Wellstar Medical Group location. The Site Lead will support the mission, vision, values, and goals of Wellstar Health System, primarily through collaboration with leadership in shaping and managing the implementation of the Wellstar strategic and operational directives. This role supports site readiness, daily checklists, communication, coverage-gap identification, issue escalation, first-receiver service recovery, and local coordination. The Site Lead reports to the Practice Manager or Manager of Regional Operations. The role partners with practice, regional operations, and clinical leadership to promote safe, high-quality, patient-centered care and consistent execution of Wellstar standards. The ability to communicate with all levels of staff that includes providers, clinical team members, staff team members, and senior leadership is a critical skill of this position. The Site Lead must have operational knowledge, leadership and communication skills that promote a positive culture of engagement, problem solving, and promote a thoughtful and respectful work environment.Core Responsibilities and Essential Functions:
Daily Site Operations and Standard Work Completes assigned daily site checklist items when onsite, documents completion, and reports incomplete items or recurring gaps promptly. Supports site schedule review, communicates gaps, and helps coordinate immediate site communication. Supports Work Queue, logs, mail, requisition follow-up, supply tracking, and other site routines assigned to the role. Support payroll functions as assigned for team members to include approved time off requests, timecard corrections, overtime tracking, and payroll reporting. Rounds daily on site conditions and submits or escalates facilities, IT, telecom, security, or building operation tickets as needed. Site Leadership, Communication, and Escalation Serves as an in-person, site lead and primary local point of coordination for day-to-day site communication, huddles, readiness updates, and immediate issue identification. Identifies and communicates site-level call outs, flex decisions, coverage gaps, operational barriers, and checklist issues to the appropriate manager or regional leader. Participates in monthly operational rounding, shares questions or barriers with the appropriate manager, and provides factual site-level observations when requested. Acts as first receiver for patient concerns, performs initial service recovery as appropriate, and escalates clinical or operational concerns promptly. Compliance, Patient Safety, and Readiness Support Identifies site workflow issues and escalates patient-safety concerns immediately. Completes assigned checks and reports gaps identified to appropriate leadership. Supports completion reminders and site logistics for required onboarding education, training, and competencies. Maintains assigned cash-handling steps and reports discrepancies. Team Support, Onboarding, and Candidate Experience Completes assigned site-orientation tasks and helps new team members understand daily site workflow, local standards, and checklists. Supports candidate experience, site tours, peer input, and interview logistics when requested, without making hiring decisions. Provides informal coaching and verbal reminders within site norms and escalates HR, attendance, conduct, or performance concerns to the appropriate manager. Provides factual site-level feedback to the employees manager as needed. Improvement, Special Projects, and Meeting Participation Collects site-level observations, updates assigned stoplight-grid items, supports action-plan implementation, and shares site-level findings or ideas with management. Supports site readiness tasks, daily/weekly/monthly/annual duties, and special projects as assigned. Leads or co-leads the Daily Huddle when assigned and attends Weekly Regional Operations Huddle and Monthly Leadership Meeting forums when assigned or appropriate. Coordinates site logistics and communication with providers as needed. Performs other duties as assigned Complies with all Wellstar Health System policies, standards of work, and code of conduct.Required Minimum Education:
- High School Diploma / GED General or Associates Health Administration-Preferred or Associates Business Administration/Management-Preferred

Required Minimum Experience:
Minimum 2 years Healthcare practice, ambulatory operations, patient access, medical office, clinical support, or comparable site coordination experience. Required and Minimum 1 year Lead, coordinator, senior team member, charge, trainer, or comparable informal leadership experience in a healthcare setting. PreferredRequired Minimum Skills:
Excellent verbal and written communication skills with ability to escalate issues clearly and promptly. Ability to support daily huddles, site checklists, readiness routines, and local standard work. Working knowledge of ambulatory practice operations, patient flow, registration, scheduling, timekeeping issue escalation, and service recovery. Ability to identify coverage gaps, supply needs, facility/IT issues, patient-safety concerns, and workflow barriers. Demonstrates professionalism, customer service, reliability, discretion, and sound judgment within a non-manager site lead role.
