Reporting to the Academic Strategy and Operations Manager, this role, as the sole supervisor of the administrative team, provides overall leadership and management functions for this group as individuals and as a team. The position assures that all work performed by the team meets the administrative quality and service delivery requirements of the school.


Key Responsibilities

  • Coordinate administrative functions to support departmental or program operations.
  • Research best practices to inform improvements within the department.
  • Develop and recommend department policies and procedures.
  • Create plans for implementing new or revised policies and procedures.
  • Resolve operational issues, problems, and service gaps.
  • Train staff in administrative methods, processes, and procedures.
  • Prepare and deliver communications to department staff regarding administrative matters.
  • Provide comprehensive administrative and program support for the Manufacturing Sciences and Industrial Automation & Design programs, including coordinating projects, meetings, events, student enrolment activities, accreditation requirements, records management, and preparation of reports and program materials. 
  • Manage day-to-day school and office operations by coordinating communications and correspondence, maintaining electronic and paper records, supporting front-desk functions, arranging office equipment servicing, and assisting with program- and school-specific initiatives as required.
  • Other duties as required

Supervisory

  • Plan for and coordinate the administrative needs of the organization beyond day‑to‑day operational requirements.
  • Allocate resources for the unit supervised and consult with area managers to ensure alignment and coordination of overall administrative needs across the organization.
  • Define goals and objectives for the unit, establish work priorities, and assume full responsibility for ensuring these objectives are achieved.
  • Lead functions that, when related to support services shared across the organization, have significant impact on other administrative or support units.
  • Supervise staff whose duties are typically described within the Administrative Support classification

Skills & Abilities

  • Exceptional organizational skills and attention to detail
  • Strong written and verbal communication skills
  • Ability to balance priorities and take initiative
  • Ability to exercise tact and discretion.
  • Knowledge of MS Office suite is essential.
  • Knowledge of computerized application systems, (i.e. PeopleSoft) would be an asset.

Qualifications

  • Related degree such as Arts, Commerce or Business Administration
  • 3-5 years of supervisory/leadership experience
  • Equivalencies may be considered.

Applicants with education credentials earned outside of Canada should have their credentials evaluated by World Education Services (WES), International Qualifications Assessment Service (IQAS) or the Comparative Education Services (CES).


Classification - Administrative Officer I


This position is covered by the Alberta Union of Provincial Employees (AUPE) Collective Agreement.


Remuneration Refer to salary range noted on this posting, plus a comprehensive benefits package.



The compensation range for this job posting is : $60,251.25 - $79,244.43
