This position exists to provide senior-level administrative and technical support to the Dean of Outreach & Strategic Partnerships and administers key support activities for the division.
The position coordinates customer service and office operations, College Credit in High School administrative processes, prospective student processing, purchasing, and administrative logistics.
The position exercises independent judgment in administering processes, developing and maintaining procedures, researching and resolving issues, establishing and monitoring timelines, and ensuring continuity of services.
Salary Range:$22.62 - $32.23/per hour.
Minimum Qualifications(must have at time of application)
- Communication Skills Sufficient to: Share information and communicate effectively with students, families, faculty, staff, school partners, vendors, and community members. Answer telephones, direct calls, take messages, prepare responses to routine inquiries, and apply accurate spelling and grammar in written communications.
- Customer Service Skills Sufficient : Provide prompt and accurate information to customers in person, on the phone, and through email and other written correspondence. Respond effectively to customers who have questions regarding college programs, admissions, enrollment, and administrative procedures.
- Database, Document, and Records Management Skills Sufficient to: Enter, retrieve, maintain, organize, and analyze information in databases and electronic record systems. Accurately file, categorize, maintain, and retrieve electronic and paper records and documents.
- Word Processing Skills Sufficient to: Create, edit, format, and finalize correspondence, reports, meeting materials, presentations, and other administrative documents. Prepare written communications that are grammatically correct, properly formatted, and free of spelling errors.
- Spreadsheet Skills Sufficient to: Use spreadsheet applications to enter, compile, store, retrieve, and analyze data. Develop and modify spreadsheets used to track projects, activities, budgets, deadlines, and program information.
- Skill in the Development of Administrative and Programmatic Procedures: Develop and implement administrative procedures, service standards, and workflow processes in cooperation with management. Obtain, organize, and draft administrative materials for internal and external dissemination.
- Leadwork Skills Sufficient to: Train and guide the work assignments of student employees or other support staff. Direct and coordinate work activities to ensure customer service standards, deadlines, and procedures are met.
Preferred Qualification (desired but not expected to have to enter job)
- Associate degree or higher in business administration, office administration, communications, education, or a related field.
- Administrative experience supporting a complex office, program, higher education institution, governmental entity, or public-sector organization.
- Experience supporting admissions, enrollment, registration, student services, or related student-facing administrative functions.
- Experience using student information systems and customer relationship management (CRM) systems such as Workday, ISRS, Salesforce, or similar systems.
- Experience supporting Postsecondary Enrollment Options (PSEO), Concurrent Enrollment, College Credit in High School, dual enrollment, or other K–12/college partnership programs.
- Experience coordinating purchasing, procurement, contracts, agreements, budgets, event planning, travel arrangements, or administrative logistics.
- Knowledge of FERPA, Minnesota Government Data Practices Act requirements, or other regulations related to maintaining confidential records and information.
Other Requirements
In accordance with the Minnesota State Colleges & Universities (Minnesota State) Vehicle Fleet Safety Program, employees driving on college/university business who use a rental or state vehicle shall be required to conform to Minnesota State’s vehicle use criteria and consent to a Motor vehicle Records check.
