Role Purpose:Â
Support the Property Manager in the day-to-day technical and operational management of the property portfolio, coordinating maintenance, contractors, tenant requests, compliance and reporting.
Duties and Responsibilities:
- Support the Property Manager in the daily technical and operational management of the property portfolio.
- Act as a key operational contact for representatives, tenants and occupants on facilities-related requests, complaints and service matters.
-Register, prioritise, assign and follow up maintenance requests, with timely acknowledgement, clear updates and documented closure.
- Prepare and maintain the preventive maintenance programme for buildings, equipment and essential services, and monitor completion against schedule.
- Coordinate corrective repairs, contractor attendance, site access, quotations, approvals and completion dates.
- Conduct regular inspections of buildings, equipment, common areas and services, and issue clear reports with photographs, risks and recommended actions.
- Monitor the performance of cleaning, gardening, security and technical service providers against agreed scope, frequency and quality standards.
-Maintain accurate asset, equipment, warranty, service-contract, maintenance, incident and compliance registers.
- Obtain and compare quotation, verify scope and pricing, and submit recommendations to the Property Manager before commitment.Â
-Verify that works have been completed satisfactorily before confirming contractor invoices for processing by Finance.
- Track operational expenditure against approved budgets and promptly report variances, commitments and forecast requirements.
- Support compliance with health, safety, fire, environmental and statutory requirements, and immediately escalate incidents or material risks.
-Coordinate minimum protective action in an emergency, secure the affected area where necessary and promptly escalate for approval and follow-up.
-Support refurbishment and CAPEX projects, including site coordination, progress monitoring, snagging and handover documentation.
- Prepare monthly operational reports covering interventions, open actions, preventive maintenance, expenditure, incidents, contractor performance, compliance, projects and recommendations.
Qualifications and Experience:Â
-Basic Computer literacy (MS Office, Excel, Word, Outlook)Â
- 1–3 years' experience in property management, real estate administration, or facility management.Â
- Valid driving licence and ability to travel between managed sites.
Knowledge and Technical Competencies:Â
- Understanding of property management principles, Contract agreements, and statutory compliance.
- Good knowledge of office administration, record keeping, and reporting.
