Job Details

PRINCIPALES FONCTIONS ET RESPONSABILITÉS : 

  • Effectuer des tâches administratives gĂ©nĂ©rales comme le traitement du courrier, la saisie Ă  l’ordinateur et la maintenance du système de classement pour le programme. 

  • CrĂ©er et tenir les dossiers des patients dans le système de GRC en s’assurant que les renseignements saisis sont exacts et mis Ă  jour rĂ©gulièrement. 

  • ExĂ©cuter les tâches administratives essentielles au cheminement des patients au sein du programme. 

  • Agir d’agent de liaison avec les autres membres de l’équipe 

  • Traiter les tĂ©lĂ©copies (entrantes et sortantes) de la façon et au moment appropriĂ©s. 

  • Étiqueter et saisir les documents dans le système de GRC et les lecteurs des programmes 

  • Revoir et analyser les documents pour repĂ©rer les Ă©vĂ©nements indĂ©sirables 

  • Signaler les Ă©vĂ©nements indĂ©sirables 

  • Tel que requis, responsable du traitement des demandes de paiement de la quote-part pour les patients, les pharmacies ou les mĂ©decins pour les programmes qui offre une aide au paiement de la quote-part ou des paiements de conciergerie. 

  • VĂ©rifier et tenir Ă  jour diffĂ©rents rapports propres Ă  son lieu de travail en dĂ©celant les erreurs, les irrĂ©gularitĂ©s ou les incohĂ©rences; faire les corrections requises et en aviser le personnel intĂ©ressĂ©. 

  • Participer Ă  divers projets prĂ©vus et imprĂ©vus en cours au sein du dĂ©partement. 

  • Participer aux sĂ©ances de formation sur les produits ou les maladies, Ă  l’interne et destinĂ©es aux patients. 

  • Communiquer par tĂ©lĂ©phone avec les professionnels de la santĂ© pour le renouvellement des ordonnances  

  • GĂ©rer les appels entrants et sortants 

  • Se conformer Ă  toutes les politiques, procĂ©dures, règles de sĂ©curitĂ© et règlements appropriĂ©s. 

  • ExĂ©cuter les tâches connexes qui lui sont assignĂ©es. 

PRIMARY DUTIES AND RESPONSIBILITIES:

  • Performs general administrative tasks such as handling the mail, typing, and maintenance of filling systemsforthe program.

  • Create and maintain patient records in the CRM by ensuring information documented are accurate andupdatedregularly

  • Execute administrative tasks critical to the progression of patients through the Program

  • Act as a liaise between other members of the team

  • Handling faxes (incoming/outgoing) accordingly and timely

  • Labeling and attaching documents to the CRM and program drives

  • Review and analyze documents for Adverse Events

  • Report Adverse Events As required, responsible for processing copayment requests for patients, pharmacies and/or physicians for programsoffering copay assistance or concierge payments

  • Audits and maintains various reports specific to his/her business location by checking for errors,inconsistenciesor discrepancies; makes corrections and notifies appropriate personnel of any modifications.

  • Assists with a variety of scheduled and unscheduled projects occurring in the department at any given time.

  • Participate in product and disease training sessions, internal as well as client-driven;

  • Liaise with HCPs for prescription renewals via phone calls

  • Manage inbound and outbound calls

  • Complies with all appropriate policies, procedures, safety rules and regulations.

  • Performs other related duties as assigned.

EXPÉRIENCE ET NIVEAU D’ÉDUCATION REQUIS : 

  • DiplĂ´me d’études secondaires ou Ă©tudes postsecondaires de prĂ©fĂ©rence.  

  • Formation professionnelle technique ou combinaison Ă©quivalente d’expĂ©rience et d’études 

  • De 3 Ă  5 ans d’expĂ©rience dans un poste administratif similaire. 

  • Une expĂ©rience de l’utilisation du logiciel SalesForce (ou d’un système de GRC) est un atout.

  • La capacitĂ© Ă  communiquer efficacement en anglais et en français (oral et Ă©crit) est un atout 

  • Une connaissance approfondie des applications de la suite Microsoft Office est essentielle 

  • VolontĂ© manifeste de changer et d’acquĂ©rir de nouvelles compĂ©tences 

  • CapacitĂ© Ă  s’adapter aux prioritĂ©s changeantes 

  • Excellentes aptitudes en relations interpersonnelles

  • Sens aigu de l’organisation; souci du dĂ©tail 

  • Excellentes aptitudes en rĂ©solution de problèmes; capacitĂ© Ă  rĂ©soudre les problèmes de façon efficace et efficiente. 

  • CapacitĂ© de projeter une image positive et professionnelle 

EXPERIENCE AND EDUCATIONAL REQUIREMENTS:

  • High School Diploma or Post Secondary schooling preferred

  • Technical vocational training or equivalent combination of experience and education

  • 3-5 years experience in a similar administrative role

  • Experience with the SalesForce software (or experience with a CRM system) an asset



MINIMUM SKILLS, KNOWLEDGE AND ABILITY REQUIREMENTS:

  • Ability to communicate effectively written and verbal, in English and in French, an asset

  • In-depth knowledge of the Microsoft Office Suite of applications is essential

  • Demonstrate a willingness to change and to learn new skills
