The purpose of the Protection Services Systems Administrator role is to administer and support the Protection Services crime database and related systems by maintaining system data, conducting contractor and new employee screening activities where required, user access, reporting, governance controls, and user support services. The role provides training, technical assistance, and administrative support to system users, ensures data integrity and compliance with reporting standards, and supports the effective management of crime information and related records.

1. Safety: Consistent application of Safety & Health principles in all discipline interactions and take personal responsibility for safety of self and others to ensure zero harm and elimination of fatalities.

2. Performance and Delivery
Systems Administration & Data Management
• Maintain the Protection Services crime database and related systems to ensure accurate, reliable, and secure information.
• Where required, conduct and administer criminal screening processes for contractors and new employees, including bookings, record management, and related reporting.
• Manage user access, security permissions, system configurations, data uploads, and administrative records.
• Perform data integrity checks, data cleansing, and routine audits to improve data quality and system effectiveness.
• Monitor system queries, flags, and user requests and ensure timely resolution or escalation where required.
• Maintain the confidentiality, security, and integrity of all crime-related information and records.

Reporting & Information Management
• Generate accurate crime statistics, management reports, trend analyses, presentations, and other information required by Protection Services.
• Maintain reporting templates, dashboards, and system outputs to support effective decision-making.
• Analyse information and identify anomalies, trends, and data quality issues requiring corrective action.
• Prepare ad hoc reports and information summaries as required by management.

User Support & Training
• Provide first-line support to system users and act as a liaison between operations and specialist system support teams.
• Conduct user training and provide guidance on crime-reporting processes, system functionality, and information management requirements.
• Maintain system procedures, user guides, manuals, and related documentation.
• Promote accurate system usage by identifying user errors, providing coaching, and supporting continuous improvement in data quality.

Governance & Administration
• Support compliance with crime-reporting protocols, policies, procedures, system governance requirements, and legislative obligations.
• Maintain electronic and physical filing systems, records, and documentation in accordance with approved standards.
• Support system backups, document control, records management, and information retention requirements.
• Identify opportunities to improve systems, reporting processes, administrative controls, and user practices.
• Provide administrative support to the Protection Services team as required.

3. People & Teams
• Actively engage as a team member in all team processes.

4. Compliance
• Ensure compliance with internal and external regulatory, legislative and permitting requirements.

Mental processing ability:

LoW I: Hands-on: Completes concrete procedural tasks.
This work requires the ability to use practical judgement, acquired through experience and learned routines to overcome obstacles. Can include directing the work of others.

 

Prescribed:

• Grade 12
• PSIRA Grade B registration
• Computer Certificate or equivalent information systems qualification.

Certifications

Prescribed:

Valid EB/Code 08 driver’s license

Desirable:

MIE (Managed Integrity Evaluation) certification/accreditation will be advantageous

Experience:
• Minimum 3 years’ experience in Security or related environment.
• Experience in preparing presentations, reports, and management information using Microsoft PowerPoint and related Microsoft Office applications).
Technical knowledge required for role:
• Information management, records administration, and data integrity principles.
• Database administration, user access management, and system governance practices.
• Crime reporting processes, information controls, and reporting standards.
• Microsoft Office, SAP, and security-related information systems.
Microsoft PowerPoint functionality and presentation development principles.
• Data analysis, reporting methodologies, and dashboard administration principles.
• Document management, filing systems, and information security requirements.

Technical skills:

• Administer databases, maintain system records, and manage user access and permissions.
• Generate reports, analyse data, and prepare statistical information and presentations.
• Use Microsoft Office, SAP, and other business and security systems effectively.
• Perform data validation, quality checks, and information reconciliation activities.
• Provide user support, system training, and guidance on reporting processes and procedures.

• Communicate effectively in writing and verbally and maintain accurate records and documentation.
• Build and maintain effective working relationships and manage routine user queries and conflicts professionally.
