Adult Outpatient Customer Service Representative
Job Description:We are looking for a welcoming, organized, and customer-focused individual to serve as our Customer Service Representative. As the first impression of WellStone to clients and visitors, you play a vital role in creating a warm, professional, and memorable experience for every visitor, client, and team member who walks through our doors. The Customer Support Representative handles inquiries and concerns from clients, parents, and staff regarding services and other clinic-related matters ina professional and empathic manner. This person is responsible for client and patient relations, office organization, and general assistance of leadership level staff. There are two full-time, hourly positions available working Monday-Friday, 8am-5pm.Â

What you'll be doing:
- Perform receptionist duties, acknowledging and assisting clients, visitors, vendors, etc.
- Perform data entry functions into computer.
- Answer telephone in timely manner.
- Verity appointments, reschedule appointment, make appointments.
- Take messages for staff, or route calls to voicemail.
- Answer questions, verity client demographic information in computer.
- Accept co-payments, key into computer, print receipts.
- Balance monetary amounts taken daily and submit to Accounting.
- Conduct reminder calls for next day appointments.
- Scan documents into computer, fax requested information.
- Inform therapist the client is present, reschedule, schedule and confirm appointments.
- Provide excuses to clients who request appointment verification.
- Attend and complete required training.
- Attend staff meetings.
- Complete other duties as assigned.

Qualifications
What we’re looking for:
- High School Diploma or equivalent
- Previous Customer Service experience required
- Excellent verbal and written communication skills
- Proficient computer skills to include knowledge of Microsoft Office Suite
- Excellent organizational and documentation skills
