- Pay Rate: $30.00–$32.00 / Hour (USD)
- Shift / Schedule: Monday–Friday, 8:30 AM–5:00 PM; overtime possible

Job Summary
ThisAdministrative Assistant role sits within the Research department, supporting a team of 12 members and providing overflow support to others, including expense report preparation. The position is approximately90% expense management and travel arrangements, making strong experience in both areas essential. The role requires direct interaction with senior analysts and may involve setting up meetings with executive-level leadership, demanding a highly professional demeanor even under pressure. The candidate will have access to customer data. The team culture is collaborative and supportive, with experienced Executive Assistants who provide training and guidance — candidates must be open to learning best practices and taking direction.
Key Responsibilities
- Coordinate domestic and international travel as well as hotels, car rentals, car services, etc. with a travel agency as requested
- Prepare Travel and Entertainment expense reports for reimbursement using theCoupa expenses system, as well as reconciliation of monthly TD Visa Statements for analysts and associates
- Screen phone calls from clients and visitors, greet clients when required, and handle all incoming correspondence
- Assist with scheduling and coordinating meetings and events with other departments across the organization (e.g., Sales, Corporate Access)
- Assist in maintaining client database, log phone calls, and emails in CRM as needed
- Maintain research data spreadsheets as specified by senior analysts
- Support Senior Analysts and provide overflow expense management for other team members
Required Skills
- Experience booking domestic and international travel
- Administrative experience in a professional setting
- Proficiency inMS Office Suite
- Heavy expenses / Travel & Entertainment (T&E) preparation experience
- Experience working in a fast-paced, high-pressure environment
- Excellent attention to detail
- Investment banking / capital markets front office experience (recent experience required)
- Front office, client-facing experience
- Strong communication skills, including professionalism when interfacing with executive-level stakeholders
- Organized with the ability to prioritize and manage multiple responsibilities
- Open to receiving training, guidance, and adopting established best practices
Preferred Skills
- Research assistant experience
Education Requirements
- Bachelor's degree (BA) required
Required Experience
- 5 years of overall experience
- Recent banking and capital markets front office experience required
- Experience preparing expenses and managing T&E in a professional services or financial institution environment
