What the Role Really Is
This isn't an entry-level receptionist job. You'd be the first voice and face people encounter, while also providing real executive-level support to leadership. Expect meeting coordination, scheduling, and office operations alongside the phones and front desk. The office moves fast and priorities shift; the right person enjoys that variety, stays steady when plans change, and takes pride in keeping things organized.

Front Desk & Client Service
- Answer and route incoming calls, take accurate messages, and respond to general inquiries
- Greet visitors with warmth, professionalism, and sensitivity
- Direct callers and visitors to the right department or staff member
- Manage incoming and outgoing mail, deliveries, and general email inboxes
- Maintain strict confidentiality around sensitive information
- Provide executive assistant support to leadership
- Coordinate meetings — scheduling, room and virtual setup, agendas, materials, and follow-up
- Take and distribute meeting minutes, and track action items and deadlines
- Manage calendars and schedule meetings across multiple stakeholders, internal and external
- Draft, proofread, and format correspondence, memos, reports, and presentations
- Order and track office supplies, and maintain vendor relationships and inventory
- Keep electronic and paper filing systems and databases organized
- Help with event logistics and special projects as needed
- Coordinate with building management, IT support, and service vendors on office needs
- Pitch in wherever needed on a small, fast-moving team
- 3+ years of administrative, executive assistant, or front-office experience
- Comfort with Microsoft Outlook, Word, Excel, PowerPoint, and Teams
- A strong phone presence and excellent verbal and written communication
- Sharp organizational skills and the ability to juggle multiple priorities and adapt quickly
- Good judgment, discretion, and comfort handling confidential information
- A self-starter who takes ownership and follows through without needing constant direction
- A college degree is welcome but not required — relevant experience and skills matter most
- Bilingual in English and Spanish (a strong plus)
- Experience supporting senior executives or leadership teams
- Experience with Zoom, Google Workspace, or CRM/database tools
