Parts & Inventory Manager

Responsible for overseeing the procurement, receiving, organization, tracking, and distribution of parts, supplies, and equipment-related materials. This position works closely with shop and field mechanics, equipment supervisors, vendors, and internal departments to ensure the right parts and supplies are available when needed while maintaining cost-effective purchasing and accurate inventory records.

A typical day looks like:

  • Procure repair parts and supplies for shop and field mechanics, obtaining multiple quotes when appropriate to ensure competitive pricing.
  • Coordinate the pickup and delivery of purchased items while considering logistics, timing, operational needs, and cost.
  • Manage incoming and outgoing FedEx, UPS, and other shipments.
  • Receive and inspect incoming orders, verifying packing slips against quantities and items received.
  • Ensure parts, supplies, and other materials are delivered to the appropriate personnel, job sites, or locations.
  • Monitor back-ordered items and maintain awareness of expected delivery dates to minimize delays.
  • Identify and verify required parts and part numbers using parts manuals, manufacturer online parts breakdowns, equipment schematics, and other technical resources.
  • For non-critical purchases or orders, coordinate with the appropriate equipment supervisor to verify procurement procedures and requirements.
  • Identify and appropriately manage non-repair-related purchases, including tools, equipment, and tool repairs.
  • Maintain accurate records of returned items and track credits due from vendors.
  • Maintain adequate inventory of commonly used parts and supplies required for equipment repairs and routine maintenance, including filters, bucket teeth, and similar items.
  • Research the market and obtain competitive vendor quotes when necessary.
  • Review, code, and route invoices for approval in accordance with company procedures.
  • Complete daily heavy equipment supply requisitions accurately and in a timely manner.
  • Add new inventory items and update existing inventory information within the company’s management system.
  • Organize, label, and maintain accurate and orderly parts and inventory area.
  • Prepare Bills of Lading (BOLs) for all returned items.
  • Prepare and track BOLs for components leaving the shop, whether being transferred in-house or sent to vendors.
  • Conduct physical parts inventory on a bi-monthly basis and reconcile discrepancies as needed.
  • Promote and maintain a safe, clean, and organized work environment.
  • Perform other duties and responsibilities as assigned.

Do you have what it takes?

  • High school diploma or equivalent required.
  • Minimum of three years of related experience required.
  • Strong organizational and time-management skills, with the ability to manage multiple responsibilities, prioritize tasks, and meet deadlines.
  • Proficient computer skills and the ability to learn and effectively use company-specific software and management systems.
  • Strong communication and interpersonal skills, with the ability to develop and maintain positive working relationships with vendors, customers, mechanics, supervisors, and other employees.
  • Basic mechanical knowledge and familiarity with heavy equipment, parts, and components preferred, with the ability to identify parts and communicate effectively with vendors regarding equipment and repair needs.
  • Ability to work effectively in both a shop office environment and at various company locations as needed.
  • Must demonstrate attention to detail and accuracy when ordering, receiving, tracking, and maintaining inventory.
  • Ability to work independently while also collaborating effectively with the maintenance and operations teams.
