Overview

The Patent Paralegal will manage our primary attorney’s calendar and inbox, and help manage our patent projects and deadlines. This role also involves client communication.

Success measures:

Create and maintain attorney and law firm’s calendar

Calendar Firm’s upcoming deadlines
Schedule calls and meetings for attorney
Review and calendar Patent deadlines - following up with clients on upcoming deadlines
Act as a proactive gatekeeper of attorneys’ calendar and time

Communicate with clients regarding progress of their cases

Client Onboarding:

Send engagement letters and onboarding material including intake forms and invoices

Send Notifications to client for new cases, pending matters and allowed cases

Schedule client calls with attorneys for case updates
Order certificates for clients

Prepare and send electronic congratulation letters for issued trademarks, copyrights, and patents
Conduct searches and prepare reports as requested
Manage invoicing for certain clients, sending invoices and scheduling reminders.
Organizing and managing dockets for larger clients keeping spreadsheet of patents and their respective deadlines

Update large clients’ portfolios monthly

Filling out and sending forms to clients for signature
Send thank you emails (or cards) to clients after work completion
Request and follow-up on conflict checks

Open new client matters and submit electronic approvals, as needed

Create, edit and process client bills as applicable
Screen internal and external correspondence, emails, memos, and reports
Conduct research as requested

2+ years of intellectual property legal secretary experience

College degree and/or Paralegal Certificate.

Why you’ll love working here

Our clients and our work are fun, fast-moving, and challenging. You will be working directly with our founder, Karima, and supporting her so she can stay in her zone of genius, helping our clients and our other attorney(s) and paralegals on a wide mix of projects.

We don’t do fire drills. While we will expect you to work efficiently and get things done on time, we don’t micromanage. We expect you to take responsibility for producing excellent work, and will treat you like the grown-up professional you are. We are organized and use checklists to be sure we don’t forget a step, and are always looking to improve and streamline our processes. We give (and expect) direct feedback, and ask for help when we need it. We leverage technology, so if you aren’t comfortable figuring out and adapting to new software on the regular, this will not be a good fit.

We will work with you to find a schedule and routine that works for both of us. There will be times when you have a heavy work load or looming deadline and you’ll need to work very hard, and other times we’ll encourage you to take the afternoon off to enjoy the outside sun.
