Our services focus on marketing strategy and ad placement. Currently, many of our clients include financial institutions, universities, and large nonprofits. We plan to expand into working with more clients in the home services, auto dealership, law firm, and eCommerce spaces.

Mission/Purpose of the Role

The Executive Assistant will have the opportunity to work directly with Kevin and Lindsay, the owners.

The efforts of the Executive Assistant will help our owners maximize communication, organization, preparation, and execution - empowering Holdsworth & Nicholas to help more businesses succeed in getting their message out to their ideal customers.

This person will also be working with Kevin and Lindsay on their personal schedules and tasks, as well as a landscaping design and build company they are acquiring.

Accountabilities

Calendar management and consolidation (there are 6 different calendars)
Email synthesizing - organizing and filtering out the most important emails from non-primary inboxes and bringing attention to high priority emails
Coordinating travel arrangements, including flights, accommodations,itineraries, potential dining and activities for the owners
Critically thinking, making suggestions, and implementing processes and systems to improve efficiency for the owners in their personal and professional lives
Ad hoc task completion, project completion, reminders, digital document organization, and research for the owners

Skilled at managing multiple projects and prioritizing the most important tasks. Able to communicate updates and next steps clearly
Proactive approach to seek out what can be done
Optimizer mentality to drive continuous improvement
Strong communication and people skills to leave an exceptional impression on behalf of the owners
Organized by nature and detail oriented (an eye for small, but important details)

What technical knowledge do you have to perform in your role?

Required

Google Workspace (Docs, Sheets, Drive, Calendar)
Asana, Monday, ClickUp, Trello (or similar project management tool)
Outlook (or similar email software)
Zoom or Teams (or similar video conferencing software)

Preferred

ChatGPT (or similar AI tools)

Qualifications (Must haves)

1.5+ years in an Executive Assistant role
Experience managing an executive’s calendar

Qualifications (Nice to haves)

Experience booking travel and accommodations for coworkers
Experience implementing a new technology tool at a company (researching, selecting, and implementing)
Experience in the marketing industry
