Responsibilities

Maintain and organize office files, documents, and records related to pool projects
Assist in scheduling appointments and coordinating meetings for project managers
Act as the first point of contact for client inquiries and provide exceptional customer service
Prepare and process purchase orders, invoices, and expense reports
Support the team in preparing project proposals and documentation
Manage office supplies inventory and place orders as necessary
Assist in maintaining project timelines and tracking milestone completions

Proven experience as an administrative assistant or in a similar role, preferably in the construction industry
Excellent organizational and multitasking skills
Strong communication skills, both verbal and written
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and familiarity with project management software
Ability to work independently and as part of a team
Detail-oriented with a focus on accuracy and efficiency
High school diploma required; additional qualifications in office management or related field are a plus
